Job Overview

The Proposal Associate supports Proposal Managers throughout the entire proposal process—including preparation of text, quotes, budgets, and responses to Requests for Information (RFIs) and Requests for Proposals (RFPs).
This role involves coordination, documentation, and cross-departmental collaboration to ensure timely and high-quality proposal delivery.


Key Responsibilities

Proposal Development

  • Assist Proposal Managers with all aspects of proposal creation (text, quote, budget, and RFI/RFP responses).

  • Manage low-complexity opportunities independently, with support when needed.

  • Shadow and assist senior colleagues on medium-complexity opportunities.

  • Review and analyze RFI/RFP documents to understand client requirements and identify missing details.

  • Compile and submit follow-up questions to clients or internal teams for clarification.

  • Draft standard proposal documents per sponsor requirements and agreed strategy, under tight deadlines.

Cross-Functional Coordination

  • Participate in strategic and operational calls related to ongoing opportunities.

  • Collaborate across global departments in a matrix environment to collect information and complete deliverables.

  • Support internal and external negotiations on pricing, resources, timelines, and processes.

Documentation & Data Management

  • Ensure timely delivery of assigned deliverables.

  • Escalate project issues or challenges to the manager for support.

  • Maintain accurate data entry in corporate and departmental systems (e.g., Salesforce, proposal tracking tools).

  • Perform quality control (QC) checks on proposals and related materials.

Process Improvement & Content Management

  • Participate in and support process improvement initiatives.

  • Contribute to the content library by submitting new or updated proposal content using official processes.

  • May handle content submission for senior colleagues when needed.

General Support

  • Develop knowledge of technical and regulatory environments.

  • Complete additional duties as assigned in alignment with business needs and priorities.


Qualifications (Minimum Required)

  • Bachelor’s degree in a relevant field or equivalent work experience.


Experience (Minimum Required)

  • Minimum 2 years of experience in budgeting, text development, or related areas within CRO, pharma, or related industries.

  • Strong customer service, attention to detail, and ability to maintain professionalism under pressure.

  • Proficient in Microsoft Office (Excel, Word, Outlook).

  • Experience with proposal management tools (e.g., Salesforce, Qvidian, Proposal Automation) is a plus.

  • Excellent writing and editing skills.

  • Strong organizational, planning, and multitasking abilities.

  • Demonstrated teamwork and communication skills (both written and verbal).

  • Ability to work independently and meet tight deadlines.

  • Strong analytical and problem-solving skills.

  • Positive attitude, sense of urgency, and flexibility to work across Fortrea business units.


Work Environment & Physical Demands

  • Flexibility to attend meetings across different time zones, including outside standard working hours.

  • Travel may be required.

  • Ability to work extended hours as needed to meet proposal deadlines.
