We are currently seeking a Project Specialist to provide essential administrative and operational support to project teams, ensuring that project deliverables are executed in alignment with contractual obligations, timelines, and client expectations.


Experience Required

  • 2–4 years of experience in project coordination, project support, or administrative roles

  • Prior experience within a clinical research organization (CRO), pharmaceutical, biotechnology, or life sciences environment is preferred

  • Exposure to clinical development, project management, or regulated environments is an advantage


Key Responsibilities

Project & Administrative Support

  • Provide day-to-day administrative and operational support to Project Leads and project teams

  • Assist in tracking project timelines, deliverables, and milestones to ensure alignment with contracted scope

  • Support coordination of project activities to meet customer expectations and internal quality standards

Documentation & Reporting

  • Prepare, maintain, and update project documentation in accordance with company SOPs and client requirements

  • Assist in compiling project reports, meeting minutes, and status updates

  • Ensure accurate filing and maintenance of project records to support audit readiness

Communication & Coordination

  • Coordinate internal and external meetings, including scheduling, agenda preparation, and follow-up actions

  • Act as a point of contact for routine project-related communications

  • Facilitate effective collaboration between cross-functional teams and stakeholders

Process & Compliance Support

  • Support adherence to project-specific procedures, contracts, and regulatory requirements

  • Assist with tracking project budgets, invoices, and resource utilization where required

  • Identify potential project risks or issues and escalate to the Project Lead in a timely manner


Qualifications & Skills

Education

  • Bachelor’s degree in Life Sciences, Business Administration, Management, or a related field

  • Equivalent practical experience will be considered

Core Competencies

  • Strong organizational and time-management skills with attention to detail

  • Proficiency in Microsoft Office applications, including Excel, Word, and PowerPoint

  • Excellent written and verbal communication skills in English

  • Ability to manage multiple tasks and priorities in a fast-paced environment

  • Strong interpersonal skills and the ability to work effectively with cross-functional teams
