Role Overview
The Project Specialist I supports the planning, execution, and closure of clinical trials by assisting Project Leaders and Functional Leads. This role involves managing project systems, preparing reports, supporting vendor coordination, and maintaining compliance with SOPs, GCP, and regulatory requirements. The Project Specialist I contributes to project efficiency, ensures accurate documentation, and supports decision-making through data analysis and reporting.
Key Responsibilities
Project Management & Execution
Support project planning, system setup, and ongoing maintenance with guidance from Project Leaders.
Maintain integrated project management systems, ensuring accurate data entry and compliance.
Assist in tracking project timelines, budgets, metrics, and financial areas; coordinate with stakeholders on required corrections.
Support vendor management, including contract compliance, invoice review, and study supply oversight.
Prepare project reports, operational metrics, and analyses to facilitate informed decision-making by Project Leaders.
Project Meetings & Communication
Prepare and attend internal and client meetings; report assigned responsibilities and follow up on action items.
Facilitate coordination across cross-functional teams to ensure seamless project execution.
Communicate effectively with clients and internal stakeholders to provide updates and resolve issues.
Project Closure & Quality Oversight
Assist in project close-out activities, ensuring system deactivation, document archiving, and final deliverables.
Support financial close-out and ensure compliance with project closure checklists.
Contribute to process improvements and provide feedback for enhancing project management tools.
Mentorship & Knowledge Sharing
Provide guidance and training to new team members on project systems and processes, if assigned.
Serve as a subject matter expert on project management tools and procedures to enhance team efficiency.
