Health Information Management Associate – Portland, ME

Location: Portland, ME (On-site)

Compensation: $16.00 – $27.69 per hour

Job Summary

Northern Light Health, in strategic partnership with Optum, is seeking a Health Information Management (HIM) Associate to support efficient processing of patient health records and information. This role involves document scanning, indexing, chart analysis, and HIPAA-compliant data handling to ensure accurate medical documentation and high-quality healthcare services. Ideal candidates will have healthcare administrative experience and strong attention to detail in medical records management.


Responsibilities

  • Process, scan, and index health records adhering to HIPAA regulations and Joint Commission/CMS standards.

  • Perform deficiency analysis and ensure completion of patient documentation.

  • Retrieve, pack, and transport charts from nursing units for scanning.

  • Prepare weekly and monthly audits of hospital charts to maintain compliance.

  • Handle calls in the Release of Information call center and abstract data in Cerner and ROI applications.

  • Maintain productivity benchmarks and log patient requests accurately.

  • Ensure a safe environment by following all Northern Light Health policies.

  • Support administrative functions and other tasks as needed.


Required Skills & Qualifications

  • High School Diploma or GED.

  • 1+ year of customer service experience with problem-solving abilities.

  • Proficiency in Microsoft Word and Excel (create, edit, and manage documents).

  • Ability to work on-site at 175 Fore River Parkway, Portland, ME 04102.

  • Availability for full-time hours, Monday – Friday (8:00 AM – 5:00 PM), with occasional overtime.

  • Full flu vaccination compliance (and boosters where mandated).

Preferred Qualifications

  • 1+ year of healthcare customer service experience.

  • Familiarity with Medicare/Medicaid services and call center operations.

  • Clerical or administrative support experience in healthcare.

  • Knowledge of ICD-9 and CPT coding.
