Position Overview

The Executive Assistant to the Business Unit Head (BUH) is a high-impact, trusted executive support role within a complex, fast-paced global organization. This position provides comprehensive administrative, operational, and coordination support to senior leadership, enabling the Business Unit Head to focus on strategic priorities, stakeholder engagement, and business execution.

The role requires exceptional organizational skills, strong executive judgment, absolute discretion, and the ability to anticipate needs in a dynamic, highly visible environment. The Executive Assistant serves as a central coordination hub for leadership activities, global meetings, and executive communications.

Key Responsibilities

Executive and Administrative Support

  • Provide senior-level executive administrative support to the Business Unit Head and, as required, their direct reports.

  • Proactively manage a complex and high-volume executive calendar, prioritizing meetings and ensuring optimal time management.

  • Coordinate domestic and international travel, including itineraries, logistics, and contingency planning.

  • Act as a primary point of contact for internal and external stakeholders, managing correspondence and meeting coordination.

  • Manage approval workflows for timesheets, expenses, and related administrative processes.

  • Handle sensitive and confidential information with professionalism and discretion.

Global Meetings and Event Coordination

  • Plan, organize, and facilitate large-scale global virtual meetings using Microsoft Teams, including meeting setup, attendance tracking, and live coordination.

  • Support executive-led calls by managing meeting flow, opening and closing sessions, and coordinating questions and follow-ups.

  • Organize in-person leadership meetings and events end-to-end, including logistics, venues, agendas, materials, and on-site coordination.

  • Ensure all meetings and events are professionally executed and aligned with leadership objectives.

Business and Presentation Support

  • Translate executive direction, notes, and concepts into high-quality, executive-ready PowerPoint presentations.

  • Synthesize complex and unstructured information into clear, concise, and visually polished materials for senior leadership and external audiences.

  • Compile updates and inputs from Therapeutic Area Heads and leadership teams to support business reviews and strategic updates.

  • Track action items, deliverables, and follow-ups from leadership meetings to ensure timely execution.

Stakeholder Engagement and Coordination

  • Serve as a professional representative of senior leadership for external and internal meeting coordination.

  • Build effective working relationships across senior leaders, global teams, and cross-functional stakeholders.

Required Skills and Competencies

  • Exceptional organizational and time-management skills with strong attention to detail.

  • Proactive, solutions-focused approach with the ability to anticipate executive needs.

  • Strong judgment and discretion when handling confidential and sensitive information.

  • Polished communication skills with confident executive presence.

  • Ability to operate effectively under pressure in a fast-paced, global environment.

  • Advanced proficiency in Microsoft Outlook, Teams, PowerPoint, and standard business productivity tools.

Experience and Qualifications

  • Minimum 5–8 years of experience providing executive support to senior leaders (Business Unit Head, SVP, EVP, or equivalent).

  • Proven experience managing complex executive calendars, international travel, and high-profile meetings.

  • Demonstrated expertise in preparing executive-level presentations and business communications.

  • Experience working within global, matrixed organizations across multiple time zones is highly preferred.

Location

  • United Kingdom–based candidates preferred, to ensure optimal time-zone alignment and effective collaboration with global leadership teams.
