Job Title: Business Development and Finance Administrator


Job Overview

We are currently seeking a Business Development and Finance Administrator to join our growing team. Reporting directly to the Executive Vice President, this role supports both client-facing and internal operations across business development and finance. The ideal candidate is detail-oriented, organized, and experienced in business administration, particularly within a CRO or life sciences environment.


Key Responsibilities

General Administrative Support

  • Compile status reports, schedule and run meetings, and document meeting minutes

  • Prepare client documentation including Master Service Agreements (MSAs), Work Orders (WOs), and Purchase Orders (POs), and follow through to closure

  • Assist in preparation of monthly governance and recruiting reports

  • Prepare and send monthly client information packages

  • Review contracts to ensure completeness and accuracy

  • Participate in daily administrative team meetings

  • Provide high-level administrative support to executive management and professional services teams

Business Development Support

  • Follow up on business development leads

  • Assist in preparing status reports and presentations for business development

  • Attend bid defense meetings, document, and circulate minutes

  • Track key client agreements and documentation including:

    • Confidential Disclosure Agreements (CDAs)

    • Master Service Agreements (MSAs)

    • Work Orders (WOs)

    • Purchase Orders (POs)

Finance & Payroll Support

  • Assist with payroll review and coordination

  • Monitor payroll taxes, set up tax jurisdictions, and address tax-related issues

  • Track 401(k) contributions and HSA/FSA deposits

  • Weekly review of timesheets, verifying salary and sick leave entries

  • Support accounts payable (AP) tasks including subcontractor/recruiter tracking and PA invoicing

  • Review and validate invoices to ensure correct billing rates and time reporting


Required Experience & Qualifications

  • Minimum 5 years of experience in a Business Administration role

  • Experience working in a Contract Research Organization (CRO) preferred

  • High level of attention to detail, discretion, and reliability

  • Strong interpersonal, verbal, and written communication skills

  • Experience in contracts, invoicing, and timesheet management

  • Proficiency in Microsoft Office suite, especially Microsoft Excel
