Job Summary

The Scientific Publications Record Coordinator will support Pfizer’s Publications Management Team (PMT) by ensuring accurate and compliant management of scientific publication records in the Aurora system. This role involves coordinating with internal and external stakeholders—including authors, publication specialists, and medical communications agencies—to maintain data integrity, support publication tracking, and uphold Pfizer’s standards for transparency and compliance in scientific communications.

The position reports to the Director, Publications Specialist / Aurora Business Admin.


Key Responsibilities

1. Aurora Recordkeeping and Compliance (Core Responsibilities)

  • Create and maintain accurate records in the Aurora publications management system in support of Scientific Publication Committees (SPCs).

  • Ensure adherence to Pfizer’s publication SOPs and compliance steps throughout the publication lifecycle.

  • Input and validate metadata (e.g., document details, collaborators, journal/congress links) and manage record relationships (parent/child, study associations).

  • Route publication drafts for review and approval, tracking status and following up with Publication Owners and authors to advance through the workflow.

  • Update records with final status, file attachments, and citation details.

  • Conduct data integrity checks to ensure accuracy for reporting, dashboards, and syndication outputs.

2. Collaboration and System Improvement (Occasional / Ad Hoc Responsibilities)

  • Collaborate with Publications Specialists to provide updates and generate reports supporting publication tracking and planning.

  • Participate in SPC meetings as an ad hoc member when required.

  • Contribute to the enhancement of Aurora Business Rules, documentation, and training materials to improve usability and compliance.

  • Participate in User Acceptance Testing (UAT) for Aurora system updates and provide feedback on functionality and user experience.

  • Support business development integrations into Aurora, including data migration, QC, and documentation.

  • Assist with Primary Manuscript monitoring in line with Pfizer’s 18-month Primary Completion Date (PCD) commitment.

  • Contribute to Open Access metrics tracking and liaise with data providers as needed.


Qualifications

Education

  • Bachelor’s degree (any discipline) with relevant experience, or

  • Associate’s degree with 4 years of relevant experience.

Experience

  • Minimum 2 years of experience in a pharmaceutical/biotech environment, peer-reviewed journal publishing, or data management role.

  • Experience in scientific publications or records management systems preferred.


Skills & Attributes

Technical Skills

  • Proficiency in English (verbal and written).

  • Strong computer literacy and experience with software applications.

  • Proficiency with Microsoft Office (Outlook, Teams, Excel).

  • Experience with Salesforce-based platforms (Aurora preferred).

  • Familiarity with citation formats and scientific publication standards (ICMJE, GPP).

  • Strong data entry and metadata management capabilities.
