Role Overview

The Project Specialist – Medical Affairs is responsible for managing and executing end-to-end logistics for medical events across assigned business units or geographies. These events may include advisory boards, investigator meetings, scientific programs, speaker trainings, masterclasses, patient-focused sessions, and internal global meetings.

This role ensures seamless event delivery by coordinating internal stakeholders, external partners, and vendors, while maintaining strict compliance with Sanofi’s global standards. Strong project management skills, organizational capability, and stakeholder engagement are essential.


Key Responsibilities

Event Management & Execution

  • Lead event planning in a structured project mode, including kick-off meetings, alignment with stakeholders, milestone tracking, and event closure.

  • Organize advisory boards, investigator meetings, hybrid events, virtual events, and scientific programs.

  • Manage on-site meeting operations and provide technical support for hybrid and virtual formats.

  • Coordinate logistics such as venue selection, hotel accommodations, transportation, program scheduling, and facilities support.

Stakeholder Coordination

  • Collaborate closely with event requestors, the Event Engagement Team, HRS, and external logistics agencies to deliver high-quality event experiences.

  • Communicate effectively with internal Sanofi teams and external partners to ensure consistent representation and service delivery.

Platform & Documentation Management

  • Create and manage events through the Sanofi Events & Congresses App (SpotMe).

  • Oversee attendee registration, data management, communications, and audiovisual requirements.

  • Ensure proper implementation of KPIs, metrics, and reporting to support operational efficiency.

Compliance & Quality

  • Adhere to all company policies, including transparency and compliance standards.

  • Provide recommendations based on event insights to improve processes and efficiency.

  • Maintain strong vendor oversight to ensure service excellence.


Required Qualifications & Experience

Education

  • Bachelor’s degree (mandatory)

Experience

  • 18 months to 3 years of event planning experience

  • Strong exposure to pharmaceuticals or life sciences

  • Experience managing logistics, vendors, and stakeholder communication

  • Proficiency in MS Office Suite

  • Fluent in written and spoken English

Preferred Competencies

  • Strong relationship-building and customer-service orientation

  • High attention to detail with the ability to manage multiple priorities

  • Ability to adapt to changing business needs

  • Digital literacy and familiarity with event technologies

  • Financial acumen for budget tracking and cost management
