Role Summary

The Medical Team Assistant provides essential administrative and coordination support to PV physician teams. The role includes handling day-to-day documentation, scheduling, tracking workflows, and assisting with reporting and onboarding activities.


Key Responsibilities

Administrative Support

  • Maintain and update Medical Group SharePoint sections.

  • Track, store, plan, print, and scan documents.

  • Maintain trackers and format documents as required.

  • Perform various administrative tasks supporting Medical Group operations.

Meeting & Communication Coordination

  • Organize meetings and teleconferences for medical department members.

  • Prepare meeting minutes and ensure timely follow-up actions.

Workflow & Reporting

  • Monitor and update the Global Workflow Tracker.

  • Assist in preparing monthly reports, summaries, and department reviews.

Support for PV Medical Group Leadership

  • Assist the Head of PV Medical Group and physicians with:

    • Travel planning

    • External training and conference registrations

    • Onboarding activities for new physicians


Qualifications

Mandatory

  • CV in English

  • Advanced written and spoken English

  • Proficiency in MS Office (Excel required)

  • Prior administrative experience

  • Ability to manage multiple tasks and meet tight deadlines

  • Strong attention to detail

  • High discretion when handling confidential information

  • Good interpersonal and communication skills
