Job Overview
Zealie, a rapidly growing medical billing and healthcare technology services company, is seeking a Medical Records Appeals Specialist to support its Behavioral Healthcare clients. This fully remote role plays a critical part in the medical appeals process, ensuring accurate documentation, regulatory compliance, and successful claim resolutions with insurance payers.
The ideal candidate will have hands-on experience in medical records management, appeals processing, and payer communications, with a strong understanding of EHR systems, healthcare regulations, and revenue cycle workflows.
Key Responsibilities
Retrieve, compile, and prepare medical records for payer appeals, regulatory agency complaints, and external reviews
Review patient documentation to ensure completeness, accuracy, and alignment with billed codes and authorizations
Cross-reference billing systems and authorization platforms prior to submission of medical records
Submit appeals and supporting documentation through payer portals and electronic platforms
Maintain frequent communication with insurance companies to track appeal status and resolve discrepancies
Ensure all appeals comply with HIPAA and applicable healthcare regulations
Enter, analyze, and maintain data in payer portals and Google Sheets for tracking and reporting
Prepare and submit professional correspondence via email and online portals
Collaborate with Team Leads, Managers, and cross-functional teams regarding claim status and adjustments
Meet or exceed daily productivity targets for accounts worked
Respond promptly to calls, voicemails, and departmental correspondence
Maintain strict confidentiality of patient health information
Perform additional duties as assigned to support operational needs
Required Qualifications
High school diploma or equivalent required
Associate’s degree in Health Information Management, Medical Records, or a related healthcare field preferred
1–3 years of experience in medical records management, medical appeals, or healthcare revenue cycle operations
Hands-on experience with Electronic Health Record (EHR) systems is required
Prior experience working with insurance payer portals
Preferred Experience
Experience in behavioral health or mental health billing environments
Knowledge of substance abuse treatment, addiction recovery, or mental health services
Familiarity with U.S. healthcare payer workflows and appeal processes
Skills and Competencies
Strong analytical and critical-thinking abilities
Excellent attention to detail and documentation accuracy
Proven accounts receivable and appeals management experience
Strong organizational and time-management skills
Effective written and verbal communication skills
Proficiency with Google Workspace tools, including Google Sheets, Docs, and Drive
Ability to navigate multiple software platforms and technology tools
Ability to work independently in a remote environment while collaborating with a global team
Ability to manage multiple priorities in a fast-paced, performance-driven setting
