Job Summary:

The IMS Specialist I is responsible for managing and administering investigator payments to sites and institutions involved in clinical trials. This includes processing payments, ensuring financial compliance, and working closely with internal teams and clients to track payment status and resolve any related issues.


Key Responsibilities:

  • Manage site payments using tools like IMPACT, Medidata, Clinpay, and other CTMS platforms

  • Review and process grant payment requests in line with project manager validation

  • Coordinate with accounts payable (A/P) and distribute payments to sites

  • Collaborate with cross-functional teams (Clinical Ops, PMs, Contracts, A/R, A/P)

  • Work with global/regional teams to ensure synchronized funding status and processing

  • Ensure advance funding from sponsors is received before releasing site payments

  • Maintain and reconcile Excel-based project grant trackers

  • Analyze Clinical Trial Agreements (CTAs) and amendments for accurate payment terms

  • Prompt and support project teams in the grant payment process and system usage

  • Assist in resolving invoice discrepancies, overdue payments, or refund needs

  • Apply correct accounting/project codes to third-party invoices

  • Generate reports for internal teams and clients including:

    • Sunshine Act compliance

    • Statutory reporting

    • Financial analysis

    • Month-end closing

  • Assist in audit processes related to payments and sponsor deposits

  • Operate sponsor-specific systems and portals as required

  • May involve travel up to 25%


Minimum Qualifications:

  • Bachelor's degree in finance, life sciences, or related field (preferred)

  • Experience or strong understanding of clinical trial operations and financial systems

  • Proficiency in Microsoft Excel and financial tracking tools

  • Understanding of CTAs, investigator payments, and regulatory requirements

  • Ability to manage multiple priorities with attention to detail

  • Strong communication and interpersonal skills

  • Comfortable working in a cross-functional, global team environment
