Job Overview

Syneos Health is seeking an IMS Specialist I to support investigator and site payment operations for global clinical trials. This hybrid role, based in London, is ideal for professionals with a strong foundation in finance, accounting, or clinical trial operations who are experienced in managing investigator payments and financial workflows within a regulated life sciences environment.

As an IMS Specialist I, you will play a critical role in ensuring accurate, timely, and compliant payments to investigators and institutions, while collaborating closely with clinical operations, project management, finance, and sponsor teams. Your work will directly support the smooth execution of clinical trials across multiple regions.


Key Responsibilities

  • Administer payments to investigators and institutions participating in clinical trials in accordance with sponsor and organizational requirements

  • Manage investigator payment activities using CTMS and payment platforms such as IMPACT, Medidata, ClinPay, and similar systems

  • Review payment-related data with project managers to ensure quality, accuracy, and completeness

  • Process and submit approved grant payment requests through CTMS tools and coordinate with Accounts Payable for disbursement

  • Maintain clear communication with internal and external stakeholders regarding site payment status, issues, and resolutions

  • Collaborate with clinical operations, project management, accounts payable, accounts receivable, and site contracts teams to facilitate timely site payments

  • Coordinate with regional and global colleagues to maintain visibility of project funding and payment status

  • Ensure advance sponsor funding is received prior to processing site payments and monitor available deposits

  • Create, maintain, and reconcile project grant trackers using Microsoft Excel

  • Review Clinical Trial Agreements (CTAs) and amendments to ensure payments align with contractual terms and schedules

  • Support project teams with grants payment processes and system navigation as needed

  • Prepare documentation and data to support sponsor invoicing activities

  • Investigate invoice discrepancies, follow up on past-due invoices, and coordinate refunds from sites when required

  • Ensure accurate account and project coding for third-party invoices related to investigator payments

  • Generate financial and operational reports to support Sunshine Act reporting, statutory requirements, monthly close activities, and ad hoc analysis

  • Assist with audits of site payments and sponsor deposits

  • Support the use of sponsor-specific systems and applications as required

  • Minimal travel may be required (up to 25%)


Required Qualifications and Experience

  • Bachelor’s degree in Business, Accounting, Finance, Life Sciences, or a related field

  • Minimum 1–3 years of relevant experience in clinical trial finance, investigator payments, clinical operations support, or a related role within the pharmaceutical, biotech, or CRO industry

  • Strong proficiency in Microsoft Excel, including spreadsheet analysis and reconciliation

  • Working knowledge of Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)

  • Experience with CTMS platforms and investigator payment systems

  • Strong organizational skills with the ability to prioritize tasks and meet deadlines in a fast-paced environment

  • High attention to detail and strong interpersonal skills with a collaborative, team-oriented approach


Preferred Qualifications

  • Experience with Oracle financial systems

  • Exposure to global clinical trial payment processes

  • Foreign language proficiency

  • Experience supporting audits, regulatory reporting, or compliance-driven financial activities
