Job Summary

The Accounts Receivable Coordinator I supports global finance operations by managing invoicing, billing coordination, and client communications. This role ensures accurate invoice preparation, timely distribution, and maintenance of billing records in compliance with internal controls and financial policies. The position requires strong attention to detail, intermediate Excel skills, and the ability to collaborate with cross-functional teams in a multi-currency, international environment.


Key Responsibilities

  • Prepare comprehensive invoice packages using consolidated monthly financial data

  • Develop pivot tables and compile supporting documentation, including scanned backup files

  • Route invoice packages to Project Managers for review, validation, and approval

  • Generate pass-through invoices and investigator invoices using ERP systems

  • Create invoice PDF packages and securely store invoices, summaries, and backup documentation

  • Distribute invoice packages electronically to clients or arrange physical delivery when original documents are required

  • Maintain and update the Billing Repository after invoice creation and validation

  • Respond to invoice-related queries from internal stakeholders and external clients

  • Communicate billing corrections to the Billing Supervisor for journal entry preparation, including project recoding and non-rechargeable cost adjustments

  • Update billing records to reflect credits, rebills, and approved corrections

  • Process credit memos and rebilling activities in accordance with finance procedures


Required Qualifications & Experience

  • Bachelor’s degree in Accounting, Finance, Commerce, or a related discipline

  • 1 to 3 years of relevant experience in accounts receivable, invoicing, or cash application

  • Working knowledge of invoice generation, billing adjustments, and credit memo processing

  • Intermediate to advanced proficiency in Microsoft Excel, including pivot tables and data analysis

  • Experience working with ERP systems in a finance or billing environment

  • Familiarity with multi-currency invoicing and global client billing processes

  • Strong written and verbal communication skills for cross-border collaboration

  • High level of accuracy, attention to detail, and organizational skills

  • Ability to manage multiple tasks and meet strict billing timelines


Preferred Qualifications

  • Prior experience using Oracle ERP or similar enterprise financial systems

  • Exposure to global finance operations within a regulated or multinational organization
