Position Summary

The Accounts Receivable Coordinator I supports global billing and invoicing operations by preparing, validating, and distributing client invoices while ensuring accuracy, compliance, and timely processing. This role requires strong analytical skills, attention to detail, and the ability to collaborate with cross-functional teams in a global, multi-currency environment.


Key Responsibilities

Billing & Invoicing

  • Prepare complete invoice packages using consolidated monthly financial data, including pivot table analysis and supporting documentation

  • Compile and maintain scanned invoice backup and supporting financial records

  • Generate pass-through and investigator invoices using Oracle ERP

  • Create invoice PDF packages and store invoices, summaries, and backup documentation in designated repositories

Client & Internal Coordination

  • Route prepared invoice packages to Project Managers for review and approval

  • Distribute finalized invoices to clients electronically or via courier when original documentation is required

  • Respond promptly to invoice-related queries from internal teams and external clients

Billing Controls & Adjustments

  • Maintain and update the Billing Repository following invoice creation, cost validation, and invoice numbering

  • Identify billing corrections requiring journal entries and provide details to the Billing Supervisor, including project recoding and non-rechargeable costs

  • Process credits and rebills in accordance with approved billing adjustments

  • Update billing records to reflect corrections and reconciliations accurately


Required Qualifications & Experience

Essential Requirements

  • 1 to 3 years of experience in Accounts Receivable, Billing, or finance operations

  • Strong proficiency in Microsoft Excel, including pivot tables and data analysis (intermediate level or above)

  • Experience working in a multi-currency and global finance environment

  • High level of accuracy and attention to detail

  • Strong organizational and time-management skills

  • Effective communication skills, with the ability to collaborate with international teams and clients

Preferred Qualifications

  • Experience working with Oracle ERP or similar financial systems

  • Exposure to shared services or global billing operations
