Role Overview

The Site Payment Specialist is responsible for managing and executing site payment activities in support of early and late-stage clinical operations. The role ensures timely payments to investigative sites, compliance with contractual agreements, and alignment with GCP/ICH, JSOX, and FAR regulations. The Specialist will interact with clinical study teams, vendors, and cross-functional stakeholders to ensure smooth payment processes throughout the study lifecycle.


Key Responsibilities

  • Manage site payments to investigative sites via the Veeva Site Payment system.

  • Oversee day-to-day site payment operations, ensuring compliance with contractual agreements and applicable guidelines.

  • Track and report payment status to clinical study teams and leadership.

  • Support data entry in Veeva Site Payment or CTMS systems.

  • Execute site payment-related activities, including:

    • Supplier onboarding

    • Mailbox management

    • Invoice review, approval, and confirmation for payment

    • Advance payments, pre-payments, and pro-forma invoice payments

  • Collaborate with cross-functional stakeholders, including feasibility, study start-up, contracts, budgets, and study teams.

  • Proactively identify and resolve payment issues, including escalation management.

  • Maintain site payment systems, standards, and processes, ensuring timely and accurate payments.

  • Contribute to site payment metrics, monitoring performance and reporting insights.


Qualifications & Experience

Required:

  • Bachelor’s degree or equivalent relevant experience.

  • 1–3 years of experience in site payments, financial operations, or clinical study support.

  • Understanding of regulatory, legal, and data privacy requirements, including GDPR.

  • Knowledge of clinical development processes, ICH/GCP, and pharmaceutical compliance standards.

  • Strong analytical, problem-solving, and decision-making skills.

  • Excellent written, verbal, and interpersonal communication skills.

  • Proficient with computer systems and data entry processes.

  • Fluent in English.

  • Minimal travel (~10%).

Preferred:

  • Experience working in a global pharmaceutical environment.
