Position Overview
The Office Manager will oversee day-to-day office operations, manage administrative functions, and facilitate smooth communication between departments and locations. This is a dynamic opportunity within a start-up manufacturing environment, where you will play a key role in supporting efficient operations at the Enzene facility. The ideal candidate is a highly organized, detail-oriented individual with excellent communication skills who can handle multiple tasks and maintain confidentiality.

Key Responsibilities

  • Office Administration: Manage daily office functions, including office supplies, equipment, and administrative needs. Oversee logistics and security protocols for visits. Maintain a clean and professional office environment. Handle office correspondence and direct it to the appropriate personnel. Schedule meetings, manage calendars, and arrange travel for team members. Organize physical and digital filing systems.
  • Support Manufacturing Teams: Serve as a liaison between the NJ site and India to ensure effective communication and issue resolution. Provide administrative support to the Site Manager, including data entry, report generation, and document preparation. Assist in the preparation of production schedules, inventory tracking, and operational reports.
  • Human Resources and Payroll Support: Assist with onboarding new hires, including documentation, orientation, and coordination with HR. Collaborate with HR to ensure compliance with company policies and safety regulations.
  • Budget and Inventory Management: Monitor office and production supplies, assist in budgeting, process purchase orders, track deliveries, and coordinate with suppliers.
  • Health and Safety Support: Ensure office compliance with safety regulations and company policies. Assist in coordinating safety training and maintaining health and safety records.
  • General Support: Assist with special projects and initiatives as directed by site leadership. Provide excellent customer service to internal teams, visitors, vendors, and contractors. Handle confidential information with discretion.

Qualifications

  • Education: High School Diploma or equivalent; Associate’s Degree or higher preferred.
  • Experience: Minimum 3 years of administrative experience, preferably in a regulated industry like pharmaceuticals or biotech.
  • Skills: Strong organizational and time management skills, proficiency in Microsoft Office Suite, and the ability to work independently or as part of a team. Ability to handle confidential information with discretion and make sound decisions.
  • Communication: Excellent communication and interpersonal skills.
