Role Overview

The Investigator Grants Associate II is responsible for supporting investigator grant administration, clinical trial site payment processing, financial tracking, and budget management for clinical research projects.

This role works closely with Project Teams, Finance Teams, and investigative sites to ensure timely, accurate, and compliant processing of investigator payments, grant tracking, and financial reconciliation activities.

The position requires strong financial analysis skills, advanced Excel proficiency, attention to detail, and the ability to manage large volumes of confidential financial data in a fast-paced clinical research environment.


Key Responsibilities

1. Investigator Grant Administration

  • Serve as the financial representative within the Project Team

  • Support:

    • Site payment preparation

    • Payment tracking

    • Financial reconciliation

    • Grant administration activities

  • Ensure timely and accurate investigator payments


2. Clinical Trial Agreement (CTA) Financial Review

  • Review financial sections of Clinical Trial Agreements (CTAs)

  • Prepare and maintain site payment tracking workbooks

  • Manage payment tracking on:

    • Project-by-project basis

    • Site-by-site basis


3. Site Payment Management

  • Prepare investigator site payment packages for Project Director/Manager review

  • Communicate approved payments to Finance for processing

  • Ensure payment calculations are accurate and compliant with CTA terms

  • Track prepaid balances to ensure adequate funding availability


4. Budget & Financial Tracking

  • Manage investigator grants pass-through budgets

  • Collect and analyze patient activity data from sites

  • Use study data to:

    • Generate client accruals

    • Process site payments

    • Forecast project costs

    • Monitor budget health


5. Financial Reconciliation & Reporting

  • Prepare:

    • Site payment reconciliations

    • Aggregate Spend / Sunshine Act reporting

    • Medicare/Medicaid (MMSE) reporting

  • Analyze and communicate financial results to:

    • Internal project teams

    • Investigative sites


6. Communication & Stakeholder Support

  • Communicate with:

    • Investigative sites

    • Clients

    • Finance teams

    • Project Managers

  • Resolve payment and financial queries through email and other communication channels

  • Maintain investigator grant dedicated mailbox


7. Team Support & Mentorship

  • Coach and mentor Investigator Grants team members

  • Support continuous improvement initiatives

  • Assist with ad hoc financial and operational tasks assigned by management


Required Qualifications

Education

  • Bachelor’s degree (4-year degree or equivalent local qualification)


Required Experience

  • Minimum 3 years of clinical research experience

  • Prior Accounts Payable experience involving global payments

  • Experience supporting investigator payments and grant administration
