Job Overview

The IMS Budget Specialist I is responsible for managing and supporting clinical trial site budgets, contract interpretation, and investigator payment planning within the Integrated Management Services (IMS) function. This role ensures accurate budget setup within Clinical Trial Management Systems (CTMS), aligns contractual payment terms with operational execution, and supports financial compliance across clinical research projects.

The position plays a critical role in ensuring accurate site payment processing, tax documentation compliance, and financial data integrity within enterprise systems.

Experience Required

  • 2–3 years of experience in accounting, finance, or clinical trial budget management

  • Experience working with enterprise financial systems or clinical trial management systems preferred

  • Exposure to clinical trial agreements (CTA), investigator payments, or contract budget analysis is advantageous

  • Experience in CRO, pharmaceutical, or healthcare finance environments preferred

Educational Qualifications

  • B.Com, M.Com, MBA (Finance), BA, or BBA

  • Strong foundation in accounting principles and financial documentation

Key Responsibilities

Clinical Trial Budget Management

  • Analyze and interpret payment terms and conditions within fully executed Clinical Trial Agreements (CTAs)

  • Ensure alignment between contract budgets and Clinical Trial Management System (CTMS) templates

  • Input and validate site budget cost structures within CTMS

  • Perform quality control checks on budget cost structures in collaboration with project teams

Investigator Payment Planning & Financial Oversight

  • Participate in Investigator Payment Planning (IPP) meetings and contribute to payment strategy development for new studies

  • Support payment setup issue resolution and ensure accurate financial configuration

  • Serve as a subject matter expert for contract interpretation and payment strategy development

Vendor & Tax Compliance Management

  • Ensure completeness of vendor financial account details for clinical trial participation

  • Verify acquisition and documentation of required tax-related information

  • Maintain compliance with financial documentation and internal audit requirements

Cross-Functional Collaboration

  • Liaise with Operations, Finance, and Legal teams to ensure contract and budget alignment

  • Maintain and update budget setup details and progress status within internal databases

  • Support multiple concurrent projects while maintaining data accuracy and compliance

Technical Skills and Tools

  • Working knowledge of CTMS platforms and enterprise financial systems

  • Strong proficiency in Microsoft Excel and financial reporting tools

  • Understanding of clinical trial budget structures and site payment workflows

  • Familiarity with contract interpretation and financial documentation processes
