Role: Associate Project Manager, Access Operations

The Associate Project Manager in Access Operations at Parexel provides crucial support throughout the lifecycle of projects, collaborating closely with Parexel Consulting Access Project Leaders (PL), Senior Project Leaders (Sr. PL), Directors, and Technical Leads (TL). This role focuses on maintaining an overview of multiple projects while managing the operational tasks that contribute to project profitability, quality, and timelines. The Associate Project Manager will help drive project execution across planning, initiation, steady state, and closure phases, gaining experience in higher-level project management.


Key Responsibilities

Project Initiation Management

  • Ensure tools are set up according to SOPs and work instructions (e.g., Project Management Plan, resource planning system).
  • Coordinate the setup of Project Specific Training in Learning Management System (LMS) as needed.
  • Collaborate with PLs to create an initial project schedule and resource plan.
  • Assist with drafting a project management plan, ensuring coordinated planning of different project activities.
  • Support staffing recommendations to ensure projects are staffed efficiently.

Project Execution and Control Management

  • Manage project reporting and analysis, highlighting issues for the project team.
  • Maintain and update the project schedule and resource changes, working with PL for adjustments.
  • Prepare portions of the monthly management and dashboard reports.
  • Update and maintain project tracking databases, compiling data for reports and other materials.
  • Manage project document archiving and ensure compliance and system issues are addressed.
  • Collaborate with PL/TL to focus on critical tasks and anticipate potential issues.

Project Financial Management

  • Track monthly project financial metrics and work with PL to manage risks and mitigation plans.
  • Oversee profit margin dashboards and lead efforts for improvements.
  • Review and process invoices and timesheets, ensuring alignment with project budgets.
  • Track holding code hours and move them into project codes as necessary.
  • Work with Independent Consultants to collect timesheets and process invoices.

Project Closure Management

  • Ensure documents are archived and manage post-project tasks like case studies and Customer Satisfaction Surveys.
  • Close project systems and interfaces upon project completion.

Skills

  • Excellent interpersonal, verbal, and written communication skills.
  • Client-focused with a flexible approach to work assignments and learning.
  • Ability to manage multiple tasks effectively with attention to detail and enthusiasm.
  • Proficient in Microsoft Excel, PowerPoint, MS Project, and Word.
  • Experience with Parexel systems is preferred.
  • Willingness to work in a matrix environment and a strong team-oriented attitude.
  • Travel is a requirement for this role.

Knowledge and Experience

  • Proven experience in healthcare, consultancy, project management, or contract research organizations.
  • 3-4 years of relevant experience in Project Support/Management.

Education

  • Bachelor's degree in a science-related field (advanced degree desirable).
  • PMP or equivalent certification is a plus.
