Job Summary:

The Warehouse Executive at Promea is responsible for overseeing warehouse operations, ensuring the efficient and compliant storage, handling, and distribution of raw materials and packaging materials. This role includes managing inventory, coordinating logistics, and maintaining a safe and organized warehouse environment.


Key Responsibilities:

  1. Warehouse Operations Management:

    • Oversee daily operations, including the receipt, storage, and issuance of pharmaceutical raw and packing materials.
  2. Regulatory Compliance:

    • Ensure all warehouse activities comply with regulatory requirements, including Good Manufacturing Practices (GMP).
  3. Inventory Management:

    • Manage inventory levels, perform regular stock counts, and implement inventory control measures to minimize discrepancies and stockouts.
  4. Coordination with Teams:

    • Work closely with procurement and production teams to ensure the timely availability of materials and finished products for storage and distribution.
  5. Record Maintenance:

    • Maintain accurate records of incoming and outgoing shipments, batch numbers, expiry dates, and other critical data.
  6. Storage Conditions & Temperature Control:

    • Ensure appropriate storage conditions and temperature controls to maintain product integrity and stability.
  7. Staff Supervision & Training:

    • Supervise and train warehouse staff to ensure compliance with Standard Operating Procedures (SOPs) and safety protocols.
  8. Warehouse Organization & Cleanliness:

    • Monitor and maintain the cleanliness and organization of the warehouse, including storage areas and equipment.
  9. Collaboration with Quality Control & Regulatory Affairs:

    • Work with the quality control and regulatory affairs teams to support product sampling, testing, and documentation for compliance.
  10. Logistics Coordination:

    • Coordinate with logistics providers to schedule shipments, ensure on-time delivery, and track shipment progress.
  11. Security & Inventory Protection:

    • Implement and maintain effective security measures to protect warehouse inventory from theft, damage, or unauthorized access.
  12. Performance Monitoring & Process Improvement:

    • Monitor warehouse performance metrics such as inventory accuracy and order fulfillment rate, and work on implementing process improvements.
  13. Operational Efficiency:

    • Identify and resolve operational inefficiencies or bottlenecks to optimize warehouse operations.
  14. Industry Awareness:

    • Stay updated with industry trends, regulations, and best practices related to warehouse management and distribution.

Qualifications and Skills:

  • Education:

    • Bachelor’s degree in Supply Chain Management, Logistics, or a related field.
  • Experience:

    • Minimum of 3-5 years of experience in warehouse operations, preferably within the pharmaceutical or healthcare industry.
  • Knowledge:

    • Strong understanding of warehouse management, inventory control, and regulatory requirements in the pharmaceutical sector.
    • Familiarity with Good Distribution Practices (GDP) and Good Manufacturing Practices (GMP).
  • Technology Skills:

    • Experience with automated warehouse management systems (WMS) and barcode scanning technologies.
  • Leadership & Supervision:

    • Strong leadership and supervisory skills with the ability to motivate and guide a team effectively.
  • Problem-Solving & Decision-Making:

    • Excellent problem-solving abilities with attention to detail and capacity to analyze warehouse data.
  • Communication Skills:

    • Effective communication and interpersonal skills for collaboration with cross-functional teams.
  • Technical Skills:

    • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software for data analysis and reporting.
  • Certifications (Preferred):

    • Forklift certification and experience with material handling equipment is preferred.
  • Additional Knowledge (Preferred):

    • Knowledge of Lean or Six Sigma methodologies.
