Role Summary

The Supervisor – Medical Coding is responsible for leading and managing a team of medical coders while ensuring operational excellence, coding quality, productivity, compliance, and client satisfaction. This role combines people leadership, coding expertise, stakeholder management, and operational oversight to deliver high-quality coding services aligned with organizational and client expectations.

The position requires strong expertise in medical coding, healthcare reimbursement methodologies, team management, performance coaching, process improvement, and client relationship management within a healthcare revenue cycle environment.

Key Responsibilities

Operational Leadership & Team Management

  • Lead and manage day-to-day operations of assigned medical coding projects.

  • Oversee team performance across key operational metrics, including:

    • Productivity

    • Quality

    • Turnaround Time (TAT)

    • Attendance

    • Attrition

  • Ensure coding deliverables meet client expectations and organizational standards.

  • Allocate workload effectively to maximize efficiency and productivity.

  • Monitor operational performance and implement corrective actions when necessary.

Coding Compliance & Technical Oversight

  • Maintain up-to-date knowledge of:

    • ICD-10-CM Guidelines

    • CPT Coding Guidelines

    • HCPCS Coding Standards

    • Healthcare Billing Requirements

    • Regulatory Updates

  • Provide coding expertise and guidance to team members.

  • Support resolution of complex coding queries and escalations.

  • Ensure compliance with coding regulations, payer requirements, and client-specific guidelines.

  • Promote coding accuracy and audit readiness.

Performance Management & Coaching

  • Conduct regular performance reviews and one-on-one coaching sessions.

  • Provide ongoing feedback to improve:

    • Coding Accuracy

    • Productivity

    • Quality Performance

    • Professional Development

  • Identify performance gaps and create improvement plans.

  • Support employee development through mentoring and skill-building initiatives.

  • Recognize and reward high performance.

Training & Talent Development

  • Collaborate with:

    • Subject Matter Experts (SMEs)

    • Auditors

    • Trainers

  • Identify training needs based on quality and productivity trends.

  • Support onboarding and development of new team members.

  • Deliver coaching and educational interventions for performance improvement.

  • Foster a culture of continuous learning and professional growth.

Client Relationship Management

  • Serve as the primary point of contact for assigned clients.

  • Manage client communications and relationship activities.

  • Present operational performance updates and project status reports.

  • Address client concerns, escalations, and service-related issues.

  • Build strong partnerships to enhance customer satisfaction and retention.

Quality Management & Process Improvement

  • Review and analyze:

    • Operational Reports

    • Quality Metrics

    • Productivity Dashboards

    • Client Feedback

  • Support quality improvement initiatives and process optimization projects.

  • Identify operational inefficiencies and implement corrective actions.

  • Drive continuous improvement programs to enhance service delivery.

Audit & Compliance Management

  • Support internal and external audits.

  • Ensure compliance with:

    • Organizational Policies

    • Coding Standards

    • Regulatory Requirements

    • Client Service Agreements

  • Monitor adherence to operational controls and quality standards.

  • Implement corrective actions for audit observations and compliance gaps.

Workforce Planning & Retention Management

  • Monitor workforce performance, attendance, and utilization.

  • Develop strategies to:

    • Reduce Attrition

    • Improve Employee Engagement

    • Enhance Team Morale

  • Support recruitment, workforce planning, and succession initiatives.

  • Manage staffing requirements to ensure operational continuity.

Business Planning & Reporting

  • Assist in preparation of:

    • Annual Business Plans

    • Operating Budgets

    • Resource Forecasts

    • Performance Reports

  • Analyze operational trends and recommend business improvements.

  • Provide insights to senior leadership on operational performance and opportunities.

Conflict Resolution & Stakeholder Management

  • Resolve operational and interpersonal issues proactively.

  • Manage escalations and critical situations effectively.

  • Collaborate with internal stakeholders to ensure seamless project execution.

  • Influence and align stakeholders toward shared operational goals.

Required Qualifications

Education

One of the following qualifications:

  • Graduate or Postgraduate in:

    • Life Sciences

    • Allied Health Sciences

    • Pharmacy

    • Nursing

    • Physiotherapy (BPT)

    • Dentistry

    • BHMS

    • BAMS

    • Related Healthcare Discipline

Certification (Mandatory)

One or more of the following:

  • CPC (Certified Professional Coder)

  • CPC-H

  • CCS (Certified Coding Specialist)

  • CCS-P

  • Other AAPC or AHIMA Certifications

Experience

  • Minimum 8+ years of medical coding experience.

  • Minimum 2+ years of experience as:

    • Team Lead

    • Coding Supervisor

    • People Manager

  • Experience managing coding operations in:

    • Healthcare BPO

    • Revenue Cycle Management

    • Medical Coding Services

  • Experience handling client-facing responsibilities is preferred.

Technical Skills & Competencies
