Role Overview

The Site Payment Specialist will be responsible for the execution of global site payment processes, supporting both early- and late-stage clinical operations. This role ensures timely, accurate, and compliant payments to investigative sites, while providing reporting and coordination with cross-functional stakeholders.


Key Responsibilities

  • Manage clinical site payments using the Veeva Site Payment system, ensuring compliance with contract timelines.

  • Support daily site payment operations, including invoice review, approval, upload, and confirmation in CTMS/EDC systems.

  • Process investigator payments, including pro-forma invoices, pre-payments, and suitability/advance payments.

  • Provide regular payment status updates to clinical study teams and leadership.

  • Collaborate with cross-functional teams including feasibility, study start-up, contracts, budget, and study team members.

  • Proactively identify and resolve site payment issues and escalations throughout the study lifecycle (start-up, conduct, close-out).

  • Maintain site payment systems, standards, and processes to ensure timely execution.

  • Support site payment metrics, including measurement, monitoring, and reporting of functional performance.

  • Ensure compliance with regulatory, legal, and data privacy requirements, including GDPR and country-specific regulations.


Required Qualifications

  • Bachelor’s degree or equivalent relevant experience.

  • 1–3 years of experience in clinical operations, site payments, budgeting, or related functions.

  • Knowledge of clinical development processes, ICH/GCP guidelines, and pharmaceutical industry regulations.

  • Strong analytical, problem-solving, and decision-making skills.

  • Excellent communication skills (oral and written) in English.

  • Strong interpersonal and collaboration skills across teams.

  • Proficiency in computer systems relevant to clinical operations.

  • Minimal travel required (~10%).


Preferred Qualifications

  • Experience in a global clinical operations environment.

  • Familiarity with Veeva Site Payment or CTMS systems.

  • Understanding of regulatory and legal issues affecting site payments and clinical operations.
