Role Overview

The Site Payment Specialist will play a pivotal role within the Global Site Payment support function, ensuring timely and accurate payments to clinical investigative sites across early and late-stage clinical studies. This position requires close collaboration with clinical operations teams, vendors, and cross-functional stakeholders to ensure compliance with contractual obligations, GCP/ICH guidelines, and regulatory requirements.


Key Responsibilities

  • Manage and execute site payments for investigative sites using the Veeva Site Payment system, ensuring adherence to contract timelines.

  • Support daily site payment operations, including invoice review, approval, and upload to CTMS or other relevant systems.

  • Oversee advance and pre-payments, pro-forma invoices, and investigator payment processing from receipt through final payment.

  • Provide regular updates to Clinical Study teams and leadership on payment status and timelines.

  • Collaborate with cross-functional stakeholders, including feasibility, study start-up, contracts, budget, and study teams.

  • Monitor and resolve payment issues or escalations throughout the study lifecycle (start-up, conduct, close-out).

  • Support site payment metrics, monitoring performance, compliance, and system standards to ensure accurate and timely payments.

  • Maintain compliance with regulatory, legal, and data privacy requirements, including GDPR and other country-specific regulations.


Required Qualifications

  • Bachelor’s degree or equivalent relevant experience.

  • 1–3 years of experience in clinical operations, site payments, budgeting, or related functions.

  • Understanding of clinical development processes, ICH/GCP guidelines, and pharmaceutical industry regulations.

  • Strong analytical, problem-solving, and decision-making skills with sound judgment.

  • Excellent oral and written communication skills in English.

  • Proficient in computer systems and software relevant to clinical site payment operations.

  • Ability to collaborate effectively across teams and maintain high standards of confidentiality.

  • Minimal travel required (~10%).


Preferred Qualifications

  • Experience working in a global clinical environment.

  • Familiarity with Veeva Site Payment, CTMS systems, or other clinical payment platforms.

  • Understanding of regulatory and legal issues affecting clinical operations and site payments.
