๐Ÿ“ Position Summary

The Senior Project Specialist is responsible for coordinating and maintaining logistical and financial aspects of clinical projects, supporting Project Leads (PL), and ensuring delivery of project milestones according to contracts and customer requirements.

This role operates independently with minimal supervision and may oversee activities of Project Specialists. The Senior Project Specialist plays a key role in facilitating communication, financial management, and compliance to ensure successful clinical project execution.


๐ŸŽฏ Key Responsibilities

  • Minimum 3+ years of relevant project specialist experience.

  • Lead monthly finance activities and provide financial analysis to support decision-making.

  • Maintain and enhance financial tracking tools and documentation.

  • Collaborate with internal teams and external stakeholders to ensure accurate, timely reporting.

  • Set up, maintain, and close project files and study information, including:

    • KPIs, regulatory documents, Trial Master File (TMF)

    • Enrollment data, Adverse Events (AEs)/Serious Adverse Events (SAEs)

    • Protocol deviations, site supplies, IRB re-approvals, data queries.

  • Maintain and distribute study-specific financial reports such as vendor/site invoices, investigator payments, forecasts.

  • Lead internal and external meetings as directed by the Project Lead; prepare meeting minutes and follow up on action items.

  • Record and communicate the status of Key Performance Indicators (KPIs), proposing action plans to the Project Lead.

  • Ensure all study documents are archived following guidelines and policies.

  • Serve as project representative for audits; support quality assurance activities including audit preparation and resolution of actionable items.

  • Act as primary customer contact when Project Lead is unavailable; escalate as needed to Project Director.

  • Mentor and train Project Specialists as required.

  • Utilize advanced Microsoft Excel skills including Pivot Tables, VLOOKUP/XLOOKUP, and complex formulas.

  • Candidates from Hyderabad and Gurgaon preferred.

  • Minimum 3+ years of experience in clinical project management or related field.

  • Strong proficiency in advanced Microsoft Excel.

  • Experience working with financial tracking and clinical trial logistics.

  • Ability to work independently and lead coordination activities.

  • Preferred candidates located in Hyderabad or Gurgaon.
