Position Overview

The Scientific Publications Record Coordinator plays a key role within the Publications Management Team (PMT), reporting to the Director, Publications Specialist/Aurora Business Admin.

This role supports Scientific Publication Committees (SPCs) by creating and maintaining accurate publication records in Aurora, Pfizer’s publication management system, ensuring full compliance with Pfizer’s standard operating procedures (SOPs) for publications.

You will collaborate closely with internal and external stakeholders — including Publication Specialists, Publication Owners, authors, medical writers, and agencies — to maintain transparency and data integrity in Pfizer’s scientific outputs.


Key Responsibilities

1. Aurora Recordkeeping and Compliance (Core Duties)

  • Create and maintain accurate publication records in Aurora in support of SPCs.

  • Ensure all entries comply with Pfizer’s publications SOPs and documentation standards.

  • Enter and link metadata correctly (e.g., document details, collaborators, study IDs, journals/congresses).

  • Route publication drafts for review and approval, track progress, and follow up to ensure timely updates.

  • Update records with final statuses, files, and citation details.

  • Conduct quality checks to maintain data accuracy for downstream reporting and dashboards.

2. Collaboration and System Improvement (Ad Hoc Duties)

  • Collaborate with Publications Specialists to deliver publication tracking reports.

  • Participate as an ad hoc SPC member when required.

  • Contribute to Aurora Business Rules, training materials, and process documentation.

  • Participate in User Acceptance Testing (UAT) for Aurora system enhancements.

  • Support data migration and integration for business development projects.

  • Assist with monitoring Pfizer’s Primary Manuscript 18-month submission commitments.

  • Support Open Access metrics and liaise with data providers when needed.


Minimum Qualifications

  • Education:

    • Bachelor’s degree (any discipline) OR

    • Associate’s degree with 4 years of relevant experience

  • Experience:

    • Minimum 2 years in pharma/biotech, peer-reviewed publishing, or data management roles

    • Proficiency in English (written and spoken)

    • Prior exposure to scientific publications preferred


Preferred Skills and Experience

  • Strong computer literacy and familiarity with Salesforce-based platforms (Aurora experience preferred).

  • Proficiency in MS Office tools — especially Outlook, Teams, and Excel.

  • Understanding of citation formats and scientific publication standards (ICMJE, GPP).

  • Excellent data entry accuracy and comfort working with structured data.

  • Strong organizational, time management, and attention to detail skills.

  • Ability to work under pressure and deliver within deadlines.

  • Effective verbal and written communication skills.

  • Ability to work both independently and as part of a virtual team.
