About the Role:

As a Trial Vendor Associate Director, you will play a critical role within the Clinical Trial Team (CTT). You will independently manage all vendor-related aspects of global clinical trials, ensuring the successful delivery of study outcomes within schedule, budget, quality, compliance, and performance standards. You will oversee trial vendor activities, managing key milestones for the trial within the relevant therapeutic area.


Key Responsibilities:

  • Collaboration: Work closely with the Study Trial Lead and study team members throughout the study lifecycle.

  • Protocol Development: Review vendor-related protocol sections during protocol development.

  • Vendor Management: Collaborate on the development of the Study Specification Worksheet (SSW) to facilitate the bid process.

  • Contract Management: Assist in reviewing quotes/proposals in collaboration with procurement, support contract negotiations, and contribute to vendor contract amendments.

  • Cost Control: Manage vendor costs, review budgets, handle invoice reconciliation, and ensure PO close-out.

  • Service Excellence: Ensure vendors meet quality and service level standards in their service delivery for the trial.

  • Operational Planning: Develop proactive operational plans with effective contingency and risk mitigation plans.

  • KPI & KQI Dashboards: Monitor vendor performance via key performance indicators and key quality indicators.

  • Readiness Monitoring: Ensure timely completion of vendor readiness to support submission and startup activities.

  • Compliance: Ensure adherence to Novartis policies, guidelines, and external regulations.


Key Performance Indicators (KPIs):

  • Timely Execution: Ensure timely, efficient, and quality execution of trials and trial-related activities.

  • Vendor Service Excellence: Maintain high standards of vendor service at the study level.

  • Proactive Planning: Implement effective contingency and risk mitigation plans for trials.

  • Timely Readiness: Ensure that vendors are ready to support submission and startup activities in a timely manner.


Work Experience & Skills:

Experience

  • Proven experience in trial management and vendor management.

  • Strong critical thinking and negotiation skills.

  • Extensive experience in collaboration across boundaries and operations management.

Leadership Skills:

  • Strong ability to build relationships and communicate effectively with diverse cross-functional teams.

  • Advanced planning and project management skills.

  • Excellent negotiation, conflict resolution, and vendor management skills.

  • Ability to solve complex problems, manage tight deadlines, and influence teams to meet timelines.

Languages:

  • Proficiency in English.
