Job Summary:

Vantive is hiring a Project Leader and Analyst, Medical Affairs for its Malta location. This key role supports the Global Medical Affairs Acute Therapies team by managing daily operations, coordinating meetings and projects, handling vendor relations, and ensuring smooth information flow between internal teams and external partners. The position also provides executive-level assistance to the Acute Medical Lead, contributing to strategic goals that enhance patient care and medical innovation.


Key Responsibilities:

  • Serve as the main point of contact for internal and external stakeholders of the Global Medical Affairs Acute Therapies team.

  • Coordinate meetings, conferences, and events, including travel arrangements, hotel bookings, venue management, and catering.

  • Handle vendor communications, contracts, and manage statements of work with Ethics & Compliance and Medical Affairs Operations.

  • Process invoices, create purchase orders, and ensure timely payments to vendors.

  • Support budget monitoring, track expenditures, and generate financial reports.

  • Provide executive assistance to the Acute Medical Lead, managing diaries, travel logistics, and expense reporting.

  • Maintain department OneDrive, SharePoint, and technical applications for document control and data organization.

  • Manage internal schedules, conference calls, and cross-functional meetings with Regional Medical Affairs and Marketing teams.

  • Take minutes in meetings, follow up on action points, and ensure smooth event execution.

  • Keep contact lists, organizational charts, and distribution lists updated regularly.

  • Lead or assist with special projects as needed to support the Global Medical Affairs team.


Required Skills & Qualifications:

  • A-level standard of education or equivalent.

  • Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) and online collaboration platforms (SharePoint, OneDrive).

  • Strong organizational and detail-oriented skills.

  • Excellent verbal and written communication in English.

  • Ability to manage multiple projects and prioritize tasks in a dynamic environment.

  • Strong problem-solving skills and a proactive approach to risk identification and solution development.

  • High integrity, professionalism, and discretion in handling confidential information.

  • Team-oriented with a collaborative mindset and adaptability to change.
