Job Description:

We are seeking a Project Coordinator to assist with Legal Entity Integration projects across EMEA, APAC, and LATAM regions. This role will support integration activities, address issues, and ensure proper communication and coordination across teams. The successful candidate will be responsible for managing tasks related to project timelines, issue escalation, and communication with stakeholders.

Responsibilities:

  1. Project Coordination for Legal Entity Integration across EMEA, APAC, and LATAM regions as required.
  2. Ensure integration activities are progressing according to schedule and reach out to other departments or teams to resolve blocks/issues.
  3. Liaise with local Project Managers to ensure smooth integration processes.
  4. Report to the manager regarding day-to-day activities, highlight issues, and complete project dashboards.
  5. Schedule meetings with regional leads for QA reviews related to legal entity integrations.
  6. Assist in defining integration points across functional areas, align plans, and manage risks/issues with proper visibility.
  7. Identify potential issues/risks and help teams develop mitigation plans, escalating to leadership when necessary.
  8. Support the definition of project management tools if not using existing PM group tools.
  9. Support country-specific IT requests for systems such as TrackWise, Isotrain, and Veeva.
  10. Ensure personnel are using the correct Quality Agreement templates for 3PL/4PL and assist with updates when needed.
  11. Ensure service level agreements are in place with key service providers such as Quality and Regulatory consultants.
  12. Escalate resource issues in conjunction with Regional QA leads and country QA leads.
  13. Raise or assist with raising Change Controls in the TrackWise system.
  14. Engage with stakeholders to support communication and change management within the project team.
  15. Provide reporting and updates to integration teams and leadership.
  16. Support the definition and deployment of interim solutions and liaise with in-country PMs for localization of activities.

Qualifications:

  • Relevant Bachelor’s Degree
  • Good working knowledge of project management activities
  • Strong interpersonal and professional skills for interacting with stakeholders at all levels, including senior executives, contractors, and colleagues
  • Good written and verbal communication skills
  • Highly organized with excellent analytical, reasoning, multi-tasking, and prioritization abilities
  • Strong numerical and analytical skills
