Position Summary:
We are seeking a Project Coordinator to manage reference-related queries, maintain medical literature databases, and ensure compliance with copyright regulations. The ideal candidate will have strong organizational and analytical skills, attention to detail, and the ability to manage multiple tasks while maintaining high-quality standards.

Key Responsibilities:

Reference Management:

  • Serve as the single point of contact for all reference-related queries, including conflicts, access issues, and locating references within client platforms.

  • Process all reference upload requests from creative agencies or originators.

  • Screen and validate references against source documents and format them according to predefined style guides.

  • Maintain the hygiene of reference libraries by conducting regular quality audits and identifying duplicate references.

  • Upload validated references into Veeva under the specific product/library as per request.

  • Update and maintain bibliographies for each product/library to ensure accurate tracking.

Data Quality & Compliance:

  • Validate the reference library in Veeva to prevent duplication and data mismatches.

  • Flag discrepancies or duplicate efforts to the appropriate stakeholders.

  • Screen platforms for missing information, coordinate with agencies/originators for corrections, and update records accordingly.

  • Manage internal databases (e.g., Mendeley, EndNote, Citavi) to centralize access to medical literature while ensuring compliance with copyright laws.

  • Oversee copyright clearance platforms to ensure only cleared references are uploaded to Veeva and internal databases.

Documentation & Reporting:

  • Maintain high-quality metadata and indexing for all internal databases.

  • Provide regular status updates to stakeholders on reference uploads and library integrity.

  • Ensure compliance with all client-specific SOPs and organizational guidelines.

Qualifications & Experience:

  • Bachelor’s degree in Life Sciences, Pharmacy, or related field.

  • 2–4 years of experience in reference management, medical information, or related roles in healthcare/pharma industry.

  • Strong organizational, analytical, and attention-to-detail skills.

  • Proficiency in database management and reference management tools (Veeva, Mendeley, EndNote, Citavi).

  • Understanding of copyright regulations in scientific and medical literature.

  • Effective written and verbal communication skills.

Preferred Skills:

  • Experience in coordinating multiple projects across global teams.

  • Knowledge of medical/clinical terminology and scientific literature.

  • Ability to work under tight deadlines while maintaining accuracy.
