Job Title: Project Coordinator (Medical Communications)

Job Description:

We are looking for a Project Coordinator to join our team, supporting the successful delivery of medical communications projects. The ideal candidate will be responsible for managing project timelines, tracking, and ensuring the smooth implementation of various tasks. This role involves interacting with clients, suppliers, and internal teams to ensure efficient project delivery within agreed budgets and timelines. The Project Coordinator will assist in financial tracking, coordinate meetings, and maintain accurate documentation, all while supporting the smooth operation of ongoing and new projects.

Key Responsibilities:

Support Account Team for Successful Project Delivery:

  • Provide skilled support in the implementation and management of specified projects, ensuring timely and within-budget delivery.
  • Maintain project tracking reports, both internally and externally, and circulate them to relevant stakeholders.
  • Set up accurate project information on all tracking tools (e.g., status reports, tracking documents, and project codes).
  • Prepare project kick-off materials, including creating project job sheets and raising purchase orders for external services.
  • Format and insert citations into manuscripts and ensure adherence to journal/house style.
  • Assist with QC, fact-checking, and document formatting for scientific and editorial revisions.
  • Assist with financial tracking of projects (e.g., invoice schedules, budget revisions, and reconciliation of discrepancies).
  • Coordinate client meetings, teleconferences, and KOL/faculty arrangements by preparing invites, agendas, and collating materials.

Documentation and Communication:

  • Maintain a filing system to store correspondence and documentation in a structured directory for quick access.
  • Manage internal and external communications, ensuring they are clear, concise, and professional.
  • Liaise with internal teams and external clients/suppliers, tracking project milestones and identifying potential issues.
  • Assist with proposal and budget development, ensuring all elements are accounted for and presented professionally.

Team Support:

  • Coordinate and set up inductions for new starters, actively participating in their training and development.
  • Proactively handle incoming and outgoing project-related mail, ensuring efficient processing.
  • Archive completed projects according to the company’s archiving policy.
  • Support team members by providing assistance with administrative tasks as needed.

Required Skills:

  • Proficient in Word (Advanced), PowerPoint (Advanced), Excel (Advanced), Outlook (Advanced), and Reference Manager (Intermediate).
  • Strong project coordination and organizational skills, with the ability to juggle multiple tasks simultaneously.
  • Attention to detail and accuracy in all tasks, especially in formatting and tracking project details.
  • Excellent interpersonal skills with the ability to communicate effectively with clients and internal teams.
  • Self-starter with the ability to work independently, manage time efficiently, and prioritize tasks.
  • Proficiency in financial tracking and use of project management tools.
  • Confidentiality in handling sensitive information and a professional demeanor at all times.
  • Excellent English proficiency for written and verbal communication.

Preferred Experience:

  • Experience within the medical communications industry is a plus but not required.
  • Familiarity with databases (e.g., Access) and Internet research is an advantage.

Education:

  • Degree in Life Sciences, Marketing, Business, or a related field is preferred but not essential.

Work Environment:

  • This role is remote and offers flexibility in terms of location, but candidates must be able to coordinate and work effectively within a distributed team.
