Description:
The Operations Associate II will support the operational implementation and ongoing delivery of investigator payment services. This role involves maintaining accurate records, supporting payment processing activities, and ensuring client satisfaction through effective communication, problem-solving, and adherence to contractual agreements and standards.

Essential Duties and Responsibilities:

Primary Responsibilities:

  • Support the operational implementation and ongoing investigator payment services for Payments projects or programs.

  • Create and maintain vendor, site, and Principal Investigator (PI) records, bank setup entries, and user management.

  • Analyze clinical trial agreements, study protocols, and contract budgets; support contract budget review and import processes.

  • Assist with ongoing payment transactions, invoicing processes, batch processing services, payment settlements, and query resolutions in accordance with Service Level Agreements.

  • Apply critical thinking and problem-solving skills to support project managers, operations leads, and team members in resolving payment-related issues.

  • Communicate effectively with project managers and stakeholders to ensure awareness of operational activities and deliverables.

  • Participate in project team meetings and execute deliverables from project kickoff to study closeout.

  • Make final decisions on internal matters or escalate issues to management as appropriate.

  • Manage client-specific expectations and deliverables.

  • Provide excellent customer service during all interactions.

Maintains Quality Service and Departmental Standards by:

  • Contributing to the development and maintenance of the Site and Patient Payments product roadmap.

  • Reading, understanding, and adhering to Standard Operating Procedures (SOPs).

  • Establishing and enforcing departmental standards.

  • Assisting in the review and updating of company SOPs related to Site and Patient Payments.

Secondary Responsibilities:

  • Explore new opportunities to add value to the organization and improve processes.

  • Support Payments Project Managers in achieving deliverables.

  • Perform other duties as assigned.

  • Attend and participate in applicable company-sponsored training sessions.

Education and Experience Required:

  • Bachelor’s degree in business, finance, or technology/software development preferred.

  • 3-5 years of successful experience in an Operations Associate role or equivalent investigator payments experience required.

  • Experience in invoice processing preferred.

  • Background knowledge in clinical trial research is highly desirable.

  • Experience in contract entry accuracy, transaction processing, and client satisfaction preferred.

  • Strong interpersonal and communication skills, both verbal and written.

  • Proficiency in MS Office suite.

Working Conditions:

  • Travel: 0-25%

Commitments:

  • Standard working hours: 40 hours per week (Monday–Friday) with a one-hour lunch break.
