Function:

Service Delivery – Site and Patient Payments


Essential Duties and Responsibilities:

Primary Responsibilities:

  • Support the operational implementation and maintenance of investigator payment services for various projects and programs.

  • Maintain vendor, site, and Principal Investigator (PI) records, bank setup entries, and user accounts.

  • Analyze clinical trial agreements, protocols, and budgets; assist in reviewing contract budgets and importing contracts.

  • Manage payment transactions, invoicing, batch processing, settlement, and resolve queries in line with SLAs.

  • Apply critical thinking to assist project managers and leads in resolving work-related or payment issues.

  • Communicate effectively with stakeholders and update project status and deliverables regularly.

  • Participate in project meetings and support deliverables from kickoff to closeout.

  • Escalate issues when necessary and contribute to final internal decisions.

  • Provide high-quality customer service during all interactions.

  • Maintain quality standards by:

    • Contributing to the Site and Patient Payments product roadmap.

    • Following SOPs and organizational standards.

    • Assisting in SOP reviews and updates.

Secondary Responsibilities:

  • Identify and explore process improvement opportunities.

  • Support Payments Project Managers in achieving deliverables.

  • Complete additional tasks as assigned.

  • Stay updated on technical knowledge through training.


Education and Experience Required:

Education:

  • Bachelor’s degree in business, finance, or technology/software development preferred.

Experience:

  • 3–5 years of relevant experience in an Operations Associate role or equivalent in investigator payments.

  • Experience in invoice processing and transaction management preferred.

  • Background in clinical trial research highly desirable.

Skills:

  • Strong customer service, documentation, and organizational skills.

  • High attention to detail and accuracy.

  • Effective communication and interpersonal abilities.

  • Proficiency in MS Office suite.

  • Ability to work both independently and in teams, managing multiple tasks under changing priorities.

  • Professional and positive demeanor.

Working Conditions:

  • Travel: 0–25%

  • Lifting: Up to 20 lbs

  • Other: Extended periods of computer work
