Job Summary

The Medical Records Follow-Up Specialist ensures the accuracy, completeness, and confidentiality of patient medical records.
This role focuses on obtaining, updating, and maintaining medical documentation, ensuring compliance with regulatory standards, and coordinating with healthcare providers to secure required information.

The specialist plays a key role in maintaining the integrity of patient data and ensuring smooth healthcare operations.


Key Responsibilities

  • Contact insurance companies via phone or other means to obtain updates on sent medical records.

  • Enter and update patient record statuses in Electronic Health Record (EHR) systems.

  • Support staff with record-keeping procedures and compliance requirements.

  • Prepare and submit regular reports on medical records and follow-up progress.

  • Document, track, and ensure resolution of follow-up actions.

  • Implement and maintain efficient record management and retrieval systems.

  • Safeguard all patient information to ensure confidentiality and data security.

  • Handle sensitive information with professionalism and integrity.


Required Qualifications & Skills

  • Proficiency with Electronic Health Record (EHR) systems and medical record management software.

  • Strong data entry, typing, and organizational skills with high attention to detail.

  • Excellent written and verbal communication for effective coordination with healthcare providers and patients.

  • Ability to convey complex information clearly and accurately.

  • Strong time management and multitasking abilities.

  • Capable of identifying gaps in documentation and taking corrective action.

  • Solid understanding of HIPAA and relevant state-specific privacy regulations.

  • Working knowledge of medical terminology and healthcare documentation practices.

  • Analytical and problem-solving abilities to resolve discrepancies in medical records.

Education

  • Required: B.A., B.Com., or B.Sc. (or equivalent).

  • Preferred: Associate’s or Bachelor’s degree in Health Information Management, Medical Records, Healthcare Administration, or MBA in a related field.


Experience

  • Prior experience in medical records management or health information systems preferred.

  • Familiarity with EHR systems and healthcare documentation workflows.

  • Experience in a healthcare or administrative setting is an advantage.
