Position Overview:
The Medical Records Appeals Specialist is responsible for managing patient records and handling appeals with accuracy, compliance, and confidentiality. This remote role involves thorough review of medical documentation, coordination with insurance providers, and cross-referencing data for billing and authorization accuracy. The specialist will ensure all appeals comply with HIPAA and regulatory requirements while maintaining efficient communication with internal teams and external parties.

Key Responsibilities:

  • Retrieve, prepare, and submit appeals for healthcare providers, insurers, and regulatory agencies.

  • Review patient records for completeness, accuracy, and compliance with billing and regulatory standards.

  • Cross-reference electronic health records (EHR) and billing software to validate claims prior to submission.

  • Prepare and submit regulatory agency complaints, external reviews, and related correspondence.

  • Maintain regular communication with team leads, managers, and stakeholders regarding claims status, discrepancies, or adjustments.

  • Track and analyze appeals data using Google Workspace tools, payer portals, and other software.

  • Maintain strict confidentiality of patient information in compliance with HIPAA regulations.

  • Meet or exceed daily productivity and quality goals for account management.

  • Respond to calls, voicemails, and correspondence in a timely manner.

  • Support additional tasks as assigned by management to ensure smooth departmental operations.

Qualifications and Skills:

  • Strong organizational and analytical skills with a high attention to detail.

  • Proven experience in accounts receivable, medical records management, or healthcare appeals.

  • Proficiency in EHR systems and healthcare payer portals.

  • Effective communication skills, both written and verbal.

  • Familiarity with Google Workspace tools (Sheets, Docs, Drive) and ability to navigate various software platforms.

  • Ability to work independently and collaboratively within a team.

  • Strong multitasking and time-management skills in a fast-paced environment.

Education and Experience Requirements:

  • High school diploma or equivalent required; Associate’s degree in Health Information Management, Medical Records, or a related field preferred.

  • Previous experience in medical records, appeals processing, or health information management is advantageous.

  • Prior experience in behavioral health billing or familiarity with the substance use and mental health treatment industry is preferred.
