Overview:

We are seeking a Senior Clinical Secretary to provide a variety of administrative support and customer service duties in a clinical setting. This remote position involves managing patient scheduling, coordinating procedures, and assisting clinical staff with documentation and administrative tasks. You will play a key role in organizing and streamlining workflows for both clinical staff and patients.


Responsibilities:

  • Answer phone calls, screen, direct, and take messages.

  • Schedule patients, manage calendars, and coordinate surgical/infusion procedures.

  • Design and analyze master schedules and coordinate scheduling of other procedures.

  • Maintain and track charts, provide scribing support, and assist clinical staff with documentation.

  • Prepare letters, memoranda, grants, and other written correspondence.

  • Create and manage forms, spreadsheets, tables, charts, and presentations.

  • Manage patient records and medical documentation, including obtaining new medical record numbers.

  • Process various reports, forms, and reimbursements, including obtaining authorizations and pre-certifications.

  • Train new staff and provide input on performance evaluations.

  • Coordinate meetings, conferences, and travel arrangements.

  • Track budgets, handle billing concerns, and maintain financial records.

  • Assist with grant preparation and contract negotiations.

  • Perform additional duties as required.


Qualifications:

  • Education: High School diploma (or equivalent).

  • Experience: 3 years of administrative support experience or equivalent required.

  • Proven experience in customer service and working with the public.

  • Knowledge of medical terminology (preferred).

  • Proficiency in PC word processing, Excel, PowerPoint, and MC Publisher.

  • Excellent communication and interpersonal skills.

  • Previous experience in a medical setting is preferred.

  • Ability to work independently and manage multiple tasks effectively.

  • Attention to detail in administrative tasks and patient documentation.

  • Ability to communicate effectively with clinical staff, patients, and external parties.
