Position Overview:

The Process & System Coordinator is responsible for managing system governance, including license provisioning and access management, as well as coordinating the execution of processes across various business functions. The role requires collaborating with key stakeholders, handling system-related issues, and ensuring alignment with global medical affairs initiatives.

Key Responsibilities:

System Support:

  • License Provisioning & Access Management: Ensure systems are correctly configured and managed for access and usage.
  • Help Desk Support: Address escalated issues related to system functionality and user roles.

Process & System Execution:

  • Training & Communication: Develop training materials and facilitate training for system and process implementation.
  • Cross-functional Collaboration: Work with stakeholders across geographies and functions to design, test, and implement systems and processes.
  • Governance: Administer cross-divisional meetings to align stakeholders on system configurations and updates.
  • Compliance & Audits: Ensure adherence to compliance and regulatory procedures, collaborating with Global Compliance and Legal teams. Respond to program audits and investigations.

Metrics & Continuous Improvement:

  • Quality & Efficiency Assessment: Design and utilize metrics for assessing system effectiveness and recommending improvements.
  • Process Change Monitoring: Track the implementation of process changes to ensure objectives are met and measurable.

Engagement with IT & Vendors:

  • System Configuration: Collaborate with IT and external vendors to configure systems based on functional and business requirements.
  • Training Needs Assessment: Collect metrics on help desk issues and training gaps to improve system effectiveness.

Process Improvement:

  • Methodology Application: Use Six Sigma, Lean, and other methodologies to enhance processes and systems.
  • Multi-tasking: Coordinate multiple processes and systems within GMAC while ensuring alignment with strategic goals.

Required Experience and Skills:

  • Educational Background: Bachelor's degree in Computer Science, Computer Information Systems, Chemical Engineering, or a related field.
  • Experience: At least three years of experience in life sciences and process/system coordination, specifically in the pharmaceutical industry.
  • System Knowledge: Experience with Veeva medical information systems and knowledge of medical information intake, classification, and triage.
