Position Overview

The Document Retrieval Specialist I–II is responsible for coordinating with healthcare providers to request, obtain, and manage medical and billing documentation required for claims audits and processing. This role also includes mentoring junior Document Retrieval staff and supporting nurse auditors in medical claim audits.

The position requires strong communication skills, attention to detail, and hands-on experience in medical records retrieval and healthcare documentation workflows.


Key Responsibilities

Document Retrieval & Claims Support

  • Manage medical record claim audit requests and facility itemized billing requests

  • Contact healthcare providers nationwide via phone, fax, email, and mail to obtain required medical and billing documents

  • Organize, track, and prioritize claims daily to ensure timely follow-up

  • Learn and comply with client- and provider-specific documentation requirements

  • Utilize document retrieval platforms such as AutoFax efficiently

Team Support & Oversight

  • Support and guide two or more nurse auditors in the medical claim audit process

  • Provide mentorship and on-the-job support to Document Retrieval I team members

  • Prepare and maintain accurate documentation in line with departmental standards

Compliance & Quality

  • Ensure adherence to Zelis privacy, confidentiality, and data security standards

  • Maintain accurate records and complete work within established turnaround times

  • Perform additional duties as assigned to support departmental objectives


Required Qualifications

  • Bachelor’s degree in any discipline

  • Associate degree preferred


Experience & Skills

  • 2+ years of experience in medical record retrieval, healthcare documentation, or claims support
    or

  • 1+ year of experience as a Document Retrieval I professional

  • Strong understanding of medical and billing document types

  • Familiarity with healthcare provider workflows and document request processes

  • Proficiency in MS Outlook, MS Word, and internet-based tools

  • Excellent verbal communication, customer service, and telephone etiquette

  • Strong organizational, multitasking, and prioritization skills

  • Ability to work independently with minimal supervision

  • High attention to detail and ability to meet deadlines in a fast-paced environment
