Customer Care Representative

Position Summary

The Customer Care Representative ensures total customer satisfaction by managing customer master file setup, delivery coordination, and credit processing. This role focuses on developing and maintaining positive customer relationships, resolving issues, and coordinating with various internal teams in the Prescription Medicine and/or Animal Health Divisions to ensure timely and appropriate responses to customer requests.


Key Responsibilities

Customer Service & Support

  • Provide bilingual customer service support for Prescription Medicine and/or Animal Health business.
  • Serve as the primary contact for all incoming customer service inquiries via phone, fax, EDI, and email.
  • Accurately record, process, maintain, and follow up on customer requests, including:
    • Return material authorization
    • Product complaints
    • Orders and credits
    • Service items and free goods
    • Problem resolution (e.g., failed EDI transactions, shipping issues, pricing discrepancies)

Customer Master & Pricing Management

  • Ensure accurate setup and maintenance of customer master files, list prices, and discount pricing based on business requirements.

Liaison & Coordination

  • For Prescription Medicine:
    • Act as a liaison between customers, internal stakeholders (Operations, Medical, Sales), and third-party partners to ensure timely responses to customer needs.
  • For Animal Health:
    • Serve as the point of contact for veterinary clinics, internal teams (Marketing, Operations, Regulatory Affairs, Sales), and third-party distribution centers.
    • Ensure effective communication and coordination for customer needs.

Work Location

  • Position based in Burlington, Ontario (5180 South Service Road).
  • Flexible work arrangement requiring at least 50% in-office presence per month or as directed by management.

Qualifications & Requirements

Education & Experience

  • University degree or post-secondary education preferred.
  • Minimum 2 years of experience in sales or customer service with a professional phone manner.
  • For Animal Health Representatives: Knowledge of veterinary and medical terminology and prior experience in an animal hospital setting is an asset.

Technical & Language Skills

  • Strong computer skills (ERP systems, MS Office, databases).
  • Bilingual (French/English) proficiency required.
  • Excellent organizational, analytical, written, and oral communication skills.
