Role Summary:

The Contract Specialist II / Sr. Site Contract Specialist manages and executes site contracts and budgets for clinical trials across multiple countries. This role ensures compliance with regulations, SOPs, and project requirements, while serving as a key liaison between sites, internal teams, and sponsors.


Key Responsibilities:

  • Lead multi-country projects, negotiating and preparing contracts, budgets, and related documents for industry-sponsored clinical trials

  • Produce and review site-specific contracts based on country clinical trial agreement (CTA) templates

  • Negotiate budgets and contracts with sites via Site Contracts Service Centre (SCSC) and SSUL until resolution

  • Ensure quality control, execution of CTAs, archival of documents, and proper metadata capture

  • Administer contract management processes, coordinating with protocol, informed consent, institution, investigator, vendor, consultant, and customer agreements

  • Generate amended contract/budget documents and optimize contract/proposal processes

  • Collaborate with Legal, SSU lead, Clinical Operations, and Finance to harmonize contracts and validate departmental budgets

  • Identify and mitigate operational or contract risks; escalate issues when necessary

  • Provide support to business development, internal, and customer meetings

  • Track contracting timelines and milestone progress using SSU tracking systems

  • Maintain contract templates, budget templates, site-specific files, and databases

  • Act as liaison between site contracts staff, internal teams, and external customers

  • Train and mentor less experienced staff on SOPs and departmental processes

  • Monitor project financial aspects and escalate discrepancies

  • Ensure compliance with SOPs, WIs, and timesheet protocols


Qualifications:

  • Education: BA/BS in Business Administration, Public Administration, Public Health, or equivalent; Advanced degree preferred

  • Experience: Moderate contract management experience in a Contract Research Organization (CRO) or pharmaceutical industry; management experience preferred

  • Knowledge of clinical development process, legal and contracting parameters

  • Understanding of clinical trial start-up processes, protocols, and associated study specifications

  • Project management experience in a fast-paced environment

  • Vendor management skills

  • Strong negotiation, problem-solving, and organizational skills

  • Ability to mentor and motivate junior staff

  • Excellent communication, presentation, and interpersonal skills
