Role Summary
The Senior Project Specialist supports Project Leads (PL) and functional teams by managing the logistical, operational, and financial aspects of clinical projects. This role ensures project deliverables are completed on time, within scope, and in alignment with customer and regulatory requirements. The position requires operating independently with minimal oversight and may involve mentoring junior Project Specialists.
Key Responsibilities
Project Coordination & Oversight
Support Project Leads in executing contracted services per customer requirements.
Set up, maintain, and close out project files and study information (e.g., KPIs, TMF, enrollment, AEs/SAEs, protocol deviations, site supplies, IRB approvals, and data queries).
Ensure all study documents are properly archived per company guidelines.
May act as the primary customer contact when PL is unavailable.
Financial Management
Lead monthly finance activities, including budget tracking and analysis.
Develop and maintain financial tracking tools, forecasts, and documentation.
Manage and distribute financial reports (e.g., vendor/site invoices, investigator payments, grants, pass-through costs).
Provide financial insights to support decision-making.
Reporting & Documentation
Maintain and track KPIs, reporting status to PLs and proposing corrective actions where needed.
Prepare and distribute study-specific reports, meeting minutes, and action items.
Support internal and external audit readiness, ensuring compliance with quality standards.
Collaboration & Leadership
Work with cross-functional teams and external stakeholders to ensure timely deliverables.
Lead internal and external meetings as required, ensuring follow-up on action items.
Mentor and train Project Specialists, fostering team development.
Qualifications
Experience: Minimum 3+ years in project specialist or related role.
Technical Skills:
Advanced MS Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, complex formulas).
Proficiency with project management and clinical trial systems.
Location Preference: Candidates from Hyderabad or Gurgaon.
Soft Skills: Strong organizational, communication, and stakeholder management skills.
