Role Overview
The Safety and Resilience Systems and Quality Specialist reports to the S&R System & Insights Team Lead. This role involves interpreting and reporting Quality performance and maintaining the Quality Management System (QMS) and reporting system. Additionally, it requires the development of new functionality and modules to enhance system performance.

Key Requirements:

  • Education: BSc/MSc in a relevant discipline (Business Administration, Quality Management, or related field)

  • Experience: 3 to 5 years of experience in a similar role

  • Proven experience managing and administering electronic platforms

  • Strong technical skills, including proficiency with web-based software, database management, and system integration

  • Experience with user training, technical support, and documentation management

  • Analytical, problem-solving, and troubleshooting abilities

  • Excellent communication and interpersonal skills for supporting a diverse user base

  • Ability to manage multiple projects and prioritize effectively

  • Experience with Power BI and data analytics

  • Background in process optimization

Must-Have Experience:

  • System Administration: Capable of managing and maintaining safety reporting platforms, controlling user access, troubleshooting issues, and optimizing system functionality

  • Business Address Handling: Experience in managing business address information

  • Data Integrity: Handling large datasets and ensuring data integrity while optimizing reporting processes

  • Presentation & Reporting: Strong communication skills for presenting data insights to senior stakeholders and preparing executive reports

  • Governance & SOP Development: Ability to create reporting guidelines, data validation processes, and risk control frameworks

  • Issue Diagnosis & Resolution: Experience in debugging system failures, analyzing logs, and resolving user-reported technical problems

Responsibilities:

  • QMS Framework Development: Collaborate with stakeholders to design and implement the QMS framework in alignment with quality standards and regulatory requirements

  • Automation & Workflow Optimization: Develop and integrate electronic forms, workflows, and modules to streamline quality management processes

  • QMS Maintenance & Troubleshooting: Ensure smooth operation by overseeing system maintenance, troubleshooting, and updates

  • User Training & Support: Deliver training programs and ongoing support to ensure effective QMS usage

  • Document Control & Access Management: Manage document control processes, including versioning, approvals, archival, and access control

  • Reporting & Performance Metrics: Generate KPI reports, track system usage, and recommend improvements based on user feedback

  • Collaboration with Quality Teams: Work with QA and Compliance teams to ensure the QMS supports quality processes, audits, and accurate records

  • Continuous Improvement & Compliance: Lead continuous improvement efforts and ensure QMS compliance with regulatory standards (e.g., ISO 9001, GxP, GAMP5)
