About the Role

The Administrative Coordinator will provide general coordination and administrative support to the “Regulatory Translation Solutions” group, ensuring smooth functioning and efficient management of team operations.


Key Responsibilities

1. Coordination & Administration

  • Perform general administrative tasks to support the Regulatory Translation Solutions team.

  • Grant and maintain access to relevant CO associates for team repository folders.

  • Organize and archive documentation in team repositories, including dispatch emails and surveys.

  • Assist team members with preparation of reports and presentations.

2. Software & Licensing Management

  • Ensure timely renewal of licenses for translation-related software and indexing tools, including Trados Studio, Verifika, and dtSearch.

3. Data Management & Tracking

  • Maintain and update team lists and trackers, e.g., job list, invoicing tracker, QC tracker, quality incidents tracker, email contact lists, CO job list tracker.

  • Provide support with uploading and downloading files from relevant databases as necessary.

4. Financial Administration

  • Manage invoices and create Purchase Orders (POs) on behalf of the Head of Regulatory Translations.

  • Maintain invoice records and address invoicing matters with vendors or service providers.

5. Vendor & Project Support

  • Assign urgent jobs to appropriate vendors in the absence of project managers or upon request.

  • Perform quick format checks on outsourced translations before delivery.


Minimum Requirements

  • At least 3 years of administrative experience, preferably in Regulatory Affairs.

  • Strong problem-solving skills.

  • Proficiency in Microsoft Office, with advanced Excel skills.

  • Excellent organizational skills and adaptability.

  • Commitment to quality, with strong interpersonal skills.

  • Team-oriented and highly committed.

  • Fluency in English (written and spoken); proficiency in other languages is desirable.

  • Excellent written and verbal communication skills.
