Reception Administrator – Greece

Excelya | Full-time | Permanent Contract | Athens, Greece

Excelya is looking for a Reception Administrator to manage front-office operations and provide administrative support. As the first point of contact for visitors, clients, and internal teams, you will play a key role in maintaining smooth office communication and daily operations. The role reports directly to the HRD Greece.

Key Responsibilities

Managing Communication

  • Answer and direct phone calls and emails.
  • Coordinate with internal staff, clients, and vendors.
  • Draft, proofread, and format memos, emails, and letters.

Meeting & Event Support

  • Prepare meeting agendas and materials.
  • Book conference rooms and arrange necessary equipment.
  • Handle logistics for events, conferences, and team activities.

Travel Arrangements

  • Organize travel plans for staff, including flights, hotels, and transportation.
  • Prepare itineraries and handle any last-minute changes.

Daily Operations Support

  • Address office maintenance requests.
  • Ensure the office environment remains organized and efficient.
  • Assist other departments with ad hoc administrative tasks.

Your Profile

Experience

  • 1-2 years of experience in a receptionist or administrative role (preferred).
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and other office software.

Competencies

  • Optimistic and positive mindset.
  • Excellent interpersonal and communication skills.
  • Fluent in English (written & verbal).
  • Previous experience in a similar role is an advantage.
