Key Responsibilities

Proposal Process Management

  • Own all aspects of the proposal process (text, quote, budget, RFI/RFP response) for assigned opportunities, ensuring clear timelines and client requirements are met.
  • Manage medium to high complexity opportunities and assist senior colleagues on highly strategic opportunities.
  • Handle integrated opportunities spanning multiple business units.
  • Review and analyze RFI/RFP documents to ensure sufficient information for budget and proposal preparation; follow up for additional details as needed.
  • Prepare high-quality, accurate documents and ensure the proposal strategy aligns with client expectations.

Team Leadership and Supervision

  • Manage and assign team workloads as needed.
  • Perform line management duties for assigned team members, including scheduling, performance evaluations, career development, and training plans.
  • Train and guide new or less experienced staff on position requirements.

Client and Internal Collaboration

  • Organize and lead strategic and operational calls for assigned opportunities.
  • Work across the organization in a matrix environment, coordinating with multiple teams across time zones and locations.
  • Liaise with third-party vendors to obtain necessary quotations.
  • Support client-facing activities, including proposal meetings and negotiations.
  • Facilitate internal and external negotiations on pricing, resources, timelines, and other deliverables.

Quality and Process Improvement

  • Perform quality control checks to ensure compliance with processes and requirements.
  • Proactively identify and implement improvements to enhance process efficiency and quality of deliverables.
  • Contribute to content libraries by submitting new or updated content and suggesting improvements.

Reporting and Documentation

  • Ensure accurate and timely data entry into departmental or corporate systems.
  • Support the preparation of client presentations and senior management-facing activities.
  • Maintain appropriate knowledge of technical and regulatory environments.

Additional Duties

  • Lead sales-focused inbound client visits.
  • Address client, lab, and operational questions requiring scientific or technical expertise.
  • Complete other relevant duties as assigned by management, ensuring alignment with business needs.

Qualifications

Educational Background

  • Bachelor’s degree in a related field or equivalent work experience.
  • Relevant and equivalent experience may be considered in lieu of educational requirements.

Experience

  • Minimum 6 years of experience in budget or text development, or a combination of education and related CRO/pharma experience.

Technical Skills

  • Proficient in MS Office (Excel, Word, Outlook).
  • Experience with proposal management tools (e.g., Salesforce, Qvidian, Proposal Automation) preferred.
  • Strong text editing, writing, and analytical skills.
