Job Overview:

The Proposal Associate is responsible for managing the proposal process, including text, quote, budget, and responses to Requests for Information (RFIs) for assigned opportunities. This role requires a strong ability to coordinate, analyze, and prepare proposals while ensuring compliance with client requirements and internal standards.

Key Responsibilities:

  • Manage all aspects of the proposal process, including timelines, client requirements, and solutions for potential obstacles.
  • Handle opportunities of low to medium complexity and support integrated opportunities across multiple business units.
  • Review and analyze Requests for Proposal (RFPs) and RFIs to ensure sufficient information is available for budget and proposal preparation.
  • Follow up with clients to obtain additional details as required.
  • Identify and resolve issues related to client requirements and Fortrea's capabilities.
  • Organize and facilitate strategic and operational calls related to assigned opportunities.
  • Work in a matrix environment across multiple time zones and locations to lead the proposal process.
  • Liaise with third-party vendors for quotations and information when necessary.
  • Prepare high-quality, accurate documents under tight deadlines, aligning with sponsor expectations.
  • Support internal and external negotiations related to pricing, processes, resources, and timelines.
  • Ensure timely and accurate completion of deliverables.
  • Perform data entry into corporate databases/systems as required.
  • Support client-facing and senior management-facing activities for assigned opportunities.
  • Maintain knowledge of technical and regulatory environments.
  • Contribute to process improvements for efficiency and quality enhancement.
  • Participate in quality control activities to ensure accuracy.
  • Support client visits, onboarding of new employees, and content library updates as needed.
  • Perform additional duties as assigned.

Qualifications (Minimum Required):

  • Bachelor's degree in a relevant field or an equivalent combination of education and experience in CRO/pharma/related industries.

Experience (Minimum Required):

  • 2 to 4 years of experience in budget and/or text development within CRO/pharma or related industries.
  • Strong customer service skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Strong time management and multitasking abilities.
  • Proficiency in MS Office (Excel, Word, Outlook).
  • Knowledge of proposal management software (e.g., Salesforce.com, Qvidian, Proposal Automation applications) is preferred.
  • Ability to work independently and meet deadlines.
  • Strong teamwork, organizational, and problem-solving skills.
