Position Overview

The Medical Information Specialist (MIS) is part of the Medical Information Contact Center. The role involves responding to medical/safety information requests and handling adverse events, product complaints, and special situations in compliance with regulatory requirements, industry standards, and ProPharma/client policies.


Key Responsibilities

Medical Information Service Delivery

  • Respond to unsolicited requests for medical/safety information from healthcare professionals, consumers, and external customers (via phone, email, website, fax, letters, or meetings).

  • Provide accurate responses (labeled and unlabeled) per regulatory requirements, industry standards, and client policies.

  • Document and report adverse events, pregnancy cases, product complaints, and special situation events in line with regulations and SOPs/WPs.

  • Complete tasks within agreed timelines (SOPs & WPs).

  • Use approved labeling, published literature, and company data to prepare responses; assist with writing custom responses.

  • Accurately log all inquiries into Inquiry Handling Systems.

Quality Assurance

  • Maintain quality standards across all tasks.

  • Perform quality checks on adverse events, product complaints, correspondence, and logged inquiries.

General Responsibilities

  • Provide after-hours coverage on a rotational basis (as required).

  • Ensure compliance with data privacy policies and confidentiality agreements.

  • Follow company health and safety policies.

  • Perform other delegated tasks as assigned by the Manager.


Qualifications

  • Degree in Life Sciences, Nursing (RN/BS/BA/MS), or Pharmacy.

  • Excellent verbal and written communication skills (including proofreading, telephone etiquette, empathetic customer service).

  • Fluent, grammatically correct writing in English (mandatory).

  • Knowledge of medical terminology, pathophysiology, pharmacology, regulations, and industry standards.

  • Strong reasoning, critical thinking, and analytical skills.

  • Ability to multitask under time constraints with strong attention to detail.

  • Proactive with problem-solving and solution-oriented mindset.

  • Able to accept feedback, learn quickly, and take responsibility for assigned work.

  • Self-motivated with initiative and drive; willing to take on additional workload.

  • Effective in both independent and team settings.

  • Proficient in Microsoft Office, Adobe Acrobat, and document management systems.

  • Ability to learn other systems, including inquiry handling databases.
