Health Information Management Supervisor – Waukesha, WI
Position Overview:
Optum, in strategic partnership with ProHealth Care, is seeking a Health Information Management (HIM) Supervisor to lead and manage daily HIM operations. This full-time, onsite role is based in Waukesha, WI and is responsible for overseeing core HIM functions, monitoring staff performance, and ensuring quality standards across the department.

Work Schedule:

  • Full-time: Monday – Friday

  • Shift: 8:00 AM – 5:00 PM

  • Occasional overtime may be required

  • Onsite Location: N17 W24100 Riverwood Dr, Waukesha, WI 53188

  • Includes 4 weeks of structured on-the-job training

Primary Responsibilities:

  • Supervise daily operations of HIM including:

    • Release of Information

    • Physician Suspension

    • Duplicate Medical Records

    • Chart Prepping/Scanning (OnBase)

    • Chart Correction

    • My Chart Enrollment

  • Monitor productivity, quality metrics, and address any performance issues

  • Train and provide continuous development for HIM staff

  • Collaborate with clinic/hospital departments to enhance service delivery

  • Assist with planning staffing needs, performance standards, and workflow

  • Serve as acting HIM resource in Director’s absence

  • Maintain reports/logs for productivity, quality, and performance

  • Ensure compliance with all regulations and HIM policies

  • Perform HR-related functions for HIM staff

Required Qualifications:

  • High School Diploma / GED

  • Minimum 18 years of age

  • One of the following:

    • 2+ years of HIM department experience

    • 1+ year of HIM leadership/supervisor experience

    • Recent HIM program graduate

  • 1+ year of HIM/Medical Records experience in an acute care or clinic setting

  • Experience with:

    • Microsoft Word (documents, templates)

    • Microsoft Outlook (email, calendar)

    • Electronic Medical Records (EMR)

  • Knowledge of release of information regulations

  • Ability to work full-time onsite at Waukesha, WI

Preferred Qualifications:

  • Experience with:

    • EPIC

    • OnBase

    • Microsoft Excel (data entry, filtering, tables)

  • Familiarity with HIPAA

Soft Skills:

  • Excellent verbal and written communication

  • Ability to prioritize workload and manage time efficiently

  • Strong attention to detail

  • Calm under pressure

  • Team player with strong interpersonal skills

Compensation & Benefits:

  • Annual salary: $49,300 to $96,400
