About the Role

ProPharma is seeking a Global Admin Coordinator - Audit to support the Quality & Compliance Audit Program. This role involves audit coordination, project administration, documentation management, reporting, stakeholder communication, and operational support for global audit projects. The position works closely with Audit Managers, Project Managers, and Sponsors to ensure smooth execution of audit activities and compliance with internal processes.

Key Responsibilities

Audit Coordination & Project Support

  • Coordinate and manage audit-related activities across global projects.

  • Support the Global Audit Coordination Senior Manager and project teams.

  • Assist with planning, tracking, and execution of audit programs.

  • Participate in large audit projects and ensure timely project support.

Documentation & Contract Management

  • Generate and manage NDAs, CDAs, proposals, change orders, affiliate agreements, and assignment letters.

  • Maintain accurate project documentation and records.

  • Ensure all required project documents are completed before project initiation.

Project Administration

  • Set up audits in internal systems such as DOT and Workday.

  • Review and approve time, expense, and invoice documentation.

  • Support project managers with administrative and operational activities.

  • Maintain project-related databases and tracking systems.

Reporting & Compliance

  • Prepare audit tracking logs, utilization reports, and personnel plans.

  • Generate project status reports and management updates.

  • Ensure adherence to SOPs, client requirements, and compliance standards.

  • Support reporting requirements for audit and compliance projects.

Stakeholder Communication

  • Communicate with project managers, sponsors, and internal teams.

  • Coordinate contract modifications and project updates.

  • Provide administrative support for audit-related meetings and activities.

  • Ensure effective collaboration across departments.
