About the Role

ProPharma is seeking a Global Admin Coordinator – Audit to support the Global Audit Coordination team in managing and monitoring Quality & Compliance Audit Programs. The role involves audit coordination, project administration, documentation management, reporting, stakeholder communication, and operational support for audit projects across pharmaceutical, biotechnology, and medical device clients.

The successful candidate will work closely with Audit Managers, Project Managers, and Sponsors to ensure audit activities are executed efficiently while maintaining compliance with company procedures and client requirements.

Key Responsibilities

Audit Coordination & Administration

  • Coordinate and support global audit program activities.

  • Monitor audit schedules, timelines, and project milestones.

  • Support audit setup and administration activities.

  • Maintain audit tracking logs and project documentation.

  • Ensure compliance with internal SOPs and client requirements.

Project & Stakeholder Support

  • Work closely with:

    • Global Audit Coordination Senior Manager

    • Project Managers

    • Project Sponsors

    • Internal Functional Teams

  • Provide administrative support for audit projects.

  • Facilitate communication between project stakeholders.

  • Support execution of large audit programs.

Documentation Management

  • Prepare and manage:

    • NDA/CDA Agreements

    • Proposals

    • Change Orders

    • Affiliate Agreements

    • Assignment Letters

    • Contract Documentation

  • Ensure documentation accuracy and completeness.

  • Maintain audit-ready records and filing systems.

Systems & Operational Support

  • Support audit setup activities in:

    • DOT

    • Workday

    • Internal Project Management Systems

  • Review and process:

    • Time & Expense Reports

    • Invoices

    • Project Documentation

  • Maintain project-related databases and records.

Reporting & Tracking

  • Generate and maintain:

    • Audit Tracking Logs

    • Personnel Utilization Reports

    • Project Status Reports

    • Resource Planning Reports

  • Monitor project progress and provide regular updates.

  • Support management reporting and audit metrics tracking.

Compliance & Quality Support

  • Verify all required documentation is available before project initiation.

  • Support adherence to quality processes and audit requirements.

  • Assist with client-specific compliance and training documentation.

  • Contribute to continuous process improvement initiatives.

Required Qualifications

Education

  • Associate Degree or equivalent work experience.
