Role Overview
The Executive Assistant will provide high-level administrative and strategic support to a senior leader based in Mumbai. This position is critical in ensuring seamless daily operations through effective calendar management, meeting coordination, executive communications, travel planning, and confidential documentation handling.

This role requires a proactive, detail-oriented professional who thrives in a fast-paced, multinational environment and can manage multiple priorities with discretion and precision.

Key Responsibilities

Executive & Administrative Support

  • Manage complex calendars, scheduling, and travel logistics.

  • Coordinate leadership meetings, governance reviews, and internal site events.

  • Prepare presentations, reports, dashboards, and executive communications with high accuracy.

  • Handle confidential correspondence and sensitive information with complete discretion.

  • Anticipate leadership needs and proactively manage priorities to ensure operational continuity.

Operations & Financial Coordination

  • Liaise with cross-functional teams to support meeting readiness and execution.

  • Coordinate event planning and senior leadership visits, including on-ground logistics.

  • Manage Purchase Order (PO) creation, invoice tracking, and vendor payments in collaboration with Finance and Procurement teams.

  • Maintain trackers, dashboards, and action logs to provide visibility into key deliverables.

Communication & Stakeholder Engagement

  • Act as a primary contact for internal and external stakeholders.

  • Draft meeting minutes, communications, and updates on behalf of leadership.

  • Ensure timely follow-up on action items and cross-functional deliverables.

  • Foster clear communication across departments in a matrixed organization.

Required Experience

  • Graduate in any discipline (Business Administration or related field preferred).

  • 7–10 years of experience as an Executive Assistant or in a senior administrative support role.

  • Prior experience supporting senior leadership in a multinational, pharmaceutical, healthcare, or matrix organization is strongly preferred.

  • Proven expertise in complex scheduling, travel coordination, executive communication, and stakeholder management.

  • Experience handling procurement-related processes such as PO creation and invoice tracking is desirable.
